About the position

The Administrative Assistant to the Trust Department plays a crucial role in supporting Wealth Advisors and managing Wealth Management accounts. This position involves direct interaction with clients, bank staff, and various stakeholders, ensuring efficient administration of trust services and maintaining high standards of customer service.

Responsibilities

  • Assist and support Wealth Advisors in servicing existing Wealth Management Services clients.
  • Manage Wealth Advisor's phones and calendars.
  • Assist with Managed & SDIRA client accounts, including bill paying, fund transfers, distributions, and maintenance of client accounts as requested by Advisors.
  • Prepare accounting entries, receipts, and other documents accurately.
  • Prepare Annual Review Reports for Advisors.
  • Assist Officers and Advisors in research and report generation from the Trust Accounting system.
  • Review daily transaction reports and work with Operations to make necessary adjustments.
  • Collaborate with the Compliance Officer to ensure Wealth Management Services procedures meet guidelines.
  • Assist clients with online access issues and the Client Onboarding process.
  • Resolve client questions or problems in collaboration with Officers.
  • Review documentation for Signature Medallion Clients to ensure compliance with requirements.
  • Image documents into the Infovisa/Maui system.
  • Serve as a backup for other Trust Administrators.
  • Assist internal personnel with ARRM access (Mauilock).
  • Perform other duties as assigned.

Requirements

  • College Degree in Finance, Business, Accounting or related field preferred.
  • Proficient computer skills including Microsoft Office Suite - Outlook, Word, Excel, and PowerPoint.
  • Strong organizational and time management skills required.
  • Ability to track and follow-up on multiple projects simultaneously.
  • Exceptional written and verbal communication skills.
  • Strong attention to detail and high degree of accuracy.
  • Ability to work independently as well as collaboratively in a team.
  • Demonstrated problem-solving skills.
  • Ability to exercise confidentiality and good judgment in decision making.
  • Effective interpersonal skills necessary to communicate with customers, bank staff, vendors, and regulators.
