About the position

The Administrative Manager for GI Medical Oncology at MD Anderson Cancer Center is responsible for managing administrative functions within the GI and Colorectal Service Line. This role provides comprehensive support to the Department Chair and Administrator, coordinates special projects, and serves as a liaison within the department and with hospital administration. The position requires problem-solving skills to enhance operational flow and the development of information systems for departmental use.

Responsibilities

  • Provide proactive and efficient administrative assistance to the executive team, including managing calendars and scheduling appointments.
  • Coordinate travel arrangements and handle correspondence for the executive team.
  • Prepare meeting agendas, take minutes, and follow up on action items.
  • Maintain and organize electronic and physical files for easy access and retrieval.
  • Collaborate with the finance team to track financial transactions and manage expense reimbursements.
  • Assist in generating and updating professional documents for faculty members.
  • Coordinate faculty recruitment and hiring processes, including scheduling interviews and arranging travel.
  • Support departmental events, conferences, and workshops by managing logistics.
  • Serve as the Kronos timecard approver for approximately 260 employees and ensure accurate time record submissions.
  • Manage direct reports, their assignments, and professional development.

Requirements

  • Bachelor's degree in a relevant field.
  • Four years of related experience in a professional/administrative capacity, including two years of supervisory experience.
  • Successful completion of the LEADing Self Accelerate and/or LEADing Self Discover programs may substitute for supervisory experience.

  • Strong communication skills, both written and verbal.
