About the position

The Administrator I - Section Coordinator position at King County is a Term-Limited Temporary role focused on providing administrative support within the Business Development & Contract Compliance section. The role requires a highly organized individual who excels in customer service and can manage multiple tasks in a fast-paced environment. The ideal candidate will be passionate about equity and social justice, capable of working independently and collaboratively, and will play a key role in the administration of various programs and projects.

Responsibilities

  • Serve as the main contact for the Business Development and Contract Compliance section, demonstrating strong customer service skills.
  • Monitor and respond to incoming emails for the section's main inboxes.
  • Research, troubleshoot, and resolve issues related to program administration.
  • Act as a program certification administrator for small business owners, reviewing applications for completeness and processing approved applications.
  • Maintain and monitor the renewal of expiring certifications.
  • Participate in business development and outreach efforts.
  • Process invoice payments using Oracle IExpense/IProcurement and create requisitions.
  • Review Purchasing Card (P-Card) transactions for approval and maintain backup documents.
  • Coordinate expense and travel approvals and reimbursements.
  • Manage special projects and events, ensuring contracts are current and funded.
  • Draft and edit written communications and presentation materials.
  • Develop and maintain tracking logs, metrics, and organizational charts.
  • Coordinate onboarding for new staff and manage public disclosure requests.
  • Update standard work processes and process bi-weekly payroll accurately.
  • Order and maintain supplies and assist with procurement of technical equipment.

Requirements

  • Administrative experience in a high-volume environment, including tracking deliverables and maintaining records.
  • Customer service experience as the main point of contact for a group via phone, email, or in person.
  • Experience with financial records, processing invoices, and payroll.
  • Ability to maintain records in multiple electronic databases with attention to detail.
  • Strong communication, interpersonal, and writing skills, with a proactive approach to task completion.
  • Ability to manage time effectively and adapt to changing priorities.

Nice-to-haves

  • Advanced skills in Microsoft Word, Excel, Outlook, and Adobe Acrobat Pro.
  • Experience using Oracle or similar programs.
  • Familiarity with LEAN processes and principles.
  • Experience with SharePoint, MS Teams, and other collaborative tools.
