About the position

The Associate Director of Client Relations and Account Management at the Jewish Cemetery Association of Massachusetts (JCAM) is a key role responsible for engaging with clients and managing office functions. This position serves as a liaison between clients and the organization, ensuring effective communication and support for client needs. The role requires a blend of client service, accounting skills, and office administration, contributing to the overall mission of JCAM in preserving historic properties and providing community education.

Responsibilities

  • Engage with clients via phone, in person, and electronically to assist with their inquiries and needs.
  • Coordinate client services and manage office administration functions.
  • Maintain accurate and up-to-date records, including payment collections.
  • Educate the public about JCAM's services and navigate business questions.
  • Work closely with the outside accounting firm to support financial operations.
  • Manage emails, letters, phone communications, and other forms of correspondence.
  • Log and copy incoming payments and checks daily, preparing electronic bank deposits.
  • Open mail and distribute to appropriate team members.
  • Update information in the database of records and prepare monthly reports for the Executive Director.
  • Track Purchase Agreements for payments and maintain payments to contractors via Excel spreadsheet.

Requirements

  • Minimum 4+ years experience as an office administrator with client services or accounting experience.
  • Detail-oriented with the ability to work under deadlines.
  • Excellent verbal and writing skills.
  • Ability to maintain composure in sensitive interpersonal situations.
  • BA/BS degree preferred.
  • Experience working with and achieving daily targets for productivity and client satisfaction.
  • Proficient in MS Office Suite, Excel, Outlook, and Teams.
  • Experience using a database tool for careful recordkeeping.
  • Experience with Bill.com software is helpful.

Nice-to-haves

  • Familiarity with QuickBooks Online.
  • Experience in a non-profit organization.
