About the position

The Business Operations Coordinator at the University of Oklahoma Athletics Department is responsible for managing accounts payable, invoice management, purchase orders, and vendor relations. This role requires a highly organized and self-motivated individual who can handle various administrative tasks while ensuring compliance with university policies and procedures.

Responsibilities

  • Assist with general administrative tasks such as data entry, filing, scanning documents, and responding to emails and phone calls.
  • Manage and maintain accurate records, files, documents, and databases, ensuring compliance with university and department policies.
  • Maintain and review small dollar purchase orders and assist with the RFP process.
  • Assist with purchasing duties, including creating requisitions, purchase orders, and processing invoices while ensuring compliance with regulations.
  • Collaborate with vendors and departments to ensure timely processing and payment of invoices, including proper coding.
  • Train and provide customer service on the purchasing process and Supplier Onboarding for new vendors.
  • Assist with the monthly review of the 1099 report, including collection and reporting of tax-related information.
  • Assist with the completion of annual reports and audits.
  • May assist with the management of noncash benefits to employees.

Requirements

  • High School Diploma/GED and 36 months of office, clerical, booking, or administrative experience.
  • Excellent customer service skills.
  • Proficient in navigating and maintaining databases.
  • Advanced Excel skills with the ability to build and manipulate spreadsheets.
  • Basic computer skills and proficient knowledge of Microsoft Office.
  • Detail-oriented for accuracy of data and information.
  • Highly organized and able to handle multiple projects and deadlines.
  • Strong initiative to solve problems and work well with interdepartmental teams.

Nice-to-haves

  • Bachelor's Degree in Accounting or Finance or equivalent experience.
  • At least one year of related experience in accounting or equivalent.
  • Experience with intercollegiate athletics.
  • Familiarity with University accounting systems (ARMS, PeopleSoft, etc.).
  • Knowledge of university, Conference, and NCAA rules and regulations.
