Requirements

  • High School Diploma or GED
  • Bilingual Spanish or Conversational Spanish is vital
  • Proficient keyboarding and file maintenance skills
  • Ability to use software to develop spreadsheets, databases, and do word processing
  • Ability to maintain accurate and auditable records
  • Ability to follow verbal and written instructions
  • Effective organizational, communication, and interpersonal skills
  • One to three years secretarial experience preferred

Responsibilities

  • Prepare campus communications, correspondence, forms, manuals, reports, purchase orders, and payment authorizations following district standards and requirements.
  • Prepare instructional materials and campus communication as requested.
  • Monitor and process time cards including leave requests and reports.
  • Compile information and submit to the director according to established procedures and deadlines.
  • Compile, maintain, and file all reports, records, and other documents as required.
  • Maintain student records according to established procedures.
  • Process new student records, including requesting transcripts and records from other schools.
  • Assist parents, students, volunteers, and faculty as needed.
  • Schedule meetings and appointments and maintain calendar for administrative staff.
  • Receive incoming calls, take reliable messages and route to appropriate staff.
  • Maintain physical and computerized files including mailing lists, student records, visitor logs, and office communication.
  • Prepare and process purchase orders and maintain inventory of fixed assets, equipment, and supplies.
  • Prepare and make cash deposits for accounts.
  • Sort, distribute, or deliver mail and other documents.
  • Administer medication to students, check temperatures, verify shot records, and notify parents of student illness.
  • Follow district safety protocols and emergency procedures.
