About the position

The Catering & Sales Admin at Harwood Hospitality Group plays a crucial role in supporting catering and sales operations. This position requires maintaining office systems, managing event planning, and ensuring outstanding guest service. The role involves a blend of administrative tasks and direct interaction with guests, making it essential for the successful execution of large parties and private events.

Responsibilities

  • Assist management team with organization of the office and daily operations.
  • Replenish office supplies as needed.
  • Assist with maintaining accurate system office systems and records.
  • Participate in staff meetings as required.
  • Review associate clock-in and clock-outs daily and notify management team of any discrepancies.
  • Reply to emails and voicemail, and answer phones, booking reservations, and taking messages for management team.
  • Field incoming event inquiries from various sources and ensure a response time of less than 48 hours.
  • Assist management in managing business on the books and work pipeline of inquiries, prospects, tentative and definite bookings.
  • Gather and input all important guest data to plan appropriately.
  • Work with management team to ensure proper scheduling of team members for events.
  • Oversee the set-up of large party or private events according to specifications and conduct full inspections.
  • Follow up with guests during and after events, including delivery of thank you notes and addressing negative feedback.

Requirements

  • 1-3 years of experience in catering and sales industry.
  • Strong guest communication skills.
  • Ability to multitask and function independently and in a team atmosphere.
  • People-oriented with a passion for interacting with others.
  • A high school diploma or equivalent.
  • Positive and progressive thinking, problem-solving skills, and promoting a positive environment.
