About the position

The Court Operations Associate position at the Oregon Judicial Department involves providing essential clerical support to the court system. This role is crucial in managing various case types, ensuring efficient processing of court documents, and delivering customer service to the public. The position requires interaction with individuals facing challenging circumstances, emphasizing the importance of empathy and professionalism in all communications. The associate will also play a key role in scheduling hearings, processing juror information, and assisting with court-appointed counsel eligibility assessments.

Responsibilities

  • Provide clerical support for the court by processing and managing all case types.
  • Perform data entry and determine appropriate next steps in multistep processes.
  • Receipt court fees, schedule hearings and trials, and prepare and distribute court dockets.
  • Accept electronic filings and ensure proper issuing of court notices.
  • Review reports related to case statuses and scan documents into the case management system.
  • Respond to records requests by providing copies and assessing fees.
  • Handle complex transactions involving warrants, attorney appointments, and license suspensions.
  • Provide customer service in person, over the phone, and in writing regarding court procedures and case statuses.
  • Process juror summonses, deferrals, excusals, and payroll, and check in jurors for jury duty.
  • Interview defendants to determine eligibility for court-appointed counsel and make recommendations to judges.

Requirements

  • High school diploma or equivalent.
  • At least three years of responsible experience in a moderately complex office or business setting involving the processing of financial, administrative, or legal documents.
  • Any combination of education and experience equivalent to three years of experience that supports the knowledge, skills, and abilities for the position.

  • Experience performing a variety of clerical or administrative support tasks with strict deadlines in a busy business or professional setting.
  • Experience using a variety of software programs to access and input information and complete various tasks.
  • Experience providing customer service to a variety of individuals in challenging circumstances.

  • Experience identifying and safeguarding confidential information and materials.
  • Skill in writing and reviewing documents for accuracy and completeness.
