About the position

The Document Control Specialist is responsible for maintaining the organization's Document Management System (DMS) and coordinating Export Control activities. This role involves documenting, updating, and maintaining workflows and process documents, as well as designing automated workflows within the DMS. The specialist acts as a liaison with internal IT and external vendors, ensuring compliance with quality standards and export regulations.

Responsibilities

  • Maintain the organization's Document Management System (DMS) and ensure all documents are filed and controlled according to company quality standards.
  • Guide stakeholders in writing processes that adhere to company guidelines.
  • Collect information and business requirements from stakeholders to develop future state processes according to quality guidelines.
  • Develop and implement new automated workflows in DMS as needed.
  • Act as the main liaison for DMS with internal IT and external vendors.
  • Create and maintain DMS training for all personnel and train users as needed.
  • Perform review and release protocol for all documents and manage change requests for the DMS.
  • Create and distribute Engineering Coordination memos for approval and customer communication.
  • Support the Export Compliance Officer and act as a Subject Matter Expert regarding EAR and ITAR regulations.
  • Develop and maintain the company's Export Management Control Plan and manage related records for compliance.
  • Prepare applications for export licenses and ensure integration of the export compliance program with business operations.
  • Develop and implement compliance training for all employees and identify areas of compliance vulnerability.

Requirements

  • Education training in Business or a related field from an accredited institution.
  • Four years of experience in Document Control or Export Control functions, with a focus on compliance and process improvement.
  • Two years of experience documenting business processes and identifying areas for improvement.

Nice-to-haves

  • Additional coursework or certification in Project Management and/or Process Improvement (e.g., PMP, Lean, Six Sigma).

Benefits

  • Competitive salary range of $69,000 - $85,000 per year.
