About the position

The E-Billing Specialist will support the Electronic Billing team in managing the electronic exchange of billing information between the Firm and its clients. This role involves onboarding clients to electronic billing systems, troubleshooting issues, ensuring compliance with billing requirements, and overseeing the electronic invoice submission process. The position is a direct hire opportunity located in downtown Chicago, transitioning to a hybrid work model after an initial training period.

Responsibilities

  • Onboard clients to electronic billing systems and communicate with Firm personnel throughout the implementation process.
  • Provide eBillingHub support to the Billing group by researching and troubleshooting electronic billing issues.
  • Field questions from the Firm's worldwide offices on electronic billing issues, acting as a helpdesk.
  • Ensure compliance with the requirements of all the Firm's electronic billing systems and communicate those requirements to appropriate personnel.
  • Understand various Legal Electronic Data Exchange Standard (LEDES) billing formats and work with the HUB Support team to implement/update formats according to client/vendor requirements.
  • Oversee the electronic invoice submission process from submission to acceptance.
  • Identify, research, and troubleshoot rejected invoices to ensure proper submission and acceptance by clients.
  • Coordinate with appropriate departments to expedite the acceptance of electronic invoices.
  • Manage new and existing timekeepers for the largest electronically billed clients of the Firm.
  • Determine the correct rates for timekeepers and submit for approval through the electronic billing system.
  • Document and communicate the client rate submission process.
  • Provide recommendations for improved efficiency through ongoing assessment.
  • Determine and submit billing rates to the client's electronic billing systems during the annual Firmwide rate implementation review.
  • Provide excellent customer service to attorneys, the Billing group, clients, and other Firm personnel.

Requirements

  • Bachelor's degree or equivalent work experience
  • Proficiency in Microsoft Office Excel and Word
  • Experience with eBillingHub and/or Elite 3E billing applications strongly preferred
  • Experience working in a law firm/legal services environment
  • 2 years of electronic billing experience
  • 1 year of legal billing experience
