About the position

The City of Pittsburg is seeking a detail-oriented and professional Executive Assistant to support the Chief of Police and Command staff within the Pittsburg Police Department. This role involves performing high-level, sensitive, and confidential administrative support functions, requiring exceptional organizational, communication, and interpersonal skills. The Executive Assistant will manage a variety of administrative tasks and interact with both staff and the public, ensuring smooth operations within the department.

Responsibilities

  • Perform high-level executive administrative support functions for the Chief of Police and Command staff.
  • Manage calendars, schedule meetings and appointments, and process invoices.
  • Compose letters, memoranda, reports, and other documents using word processing and spreadsheet software.
  • Coordinate activities to ensure timely submission of documents or information required for major projects.
  • Receive inquiries and complaints, coordinating with others to obtain necessary information and compose appropriate responses.
  • Prioritize, distribute, and process incoming and outgoing mail for the Chief and Command staff.
  • Establish positive working relationships with community organizations, state/local agencies, and the public.
  • Direct, train, assign, and review the work of assigned office support staff.

Requirements

  • Graduation from high school or equivalent, supplemented by specialized secretarial courses.
  • Five years of responsible secretarial or office administration experience, preferably in a municipal setting.
  • Proficiency in Microsoft Office Suite and familiarity with office and records management software.
  • Strong verbal and written communication skills, with excellent organizational and time-management abilities.
  • Ability to handle complex inquiries and confidential information with discretion and professionalism.

Nice-to-haves

  • Knowledge of human resources and payroll transactional documentation.
  • Knowledge of public safety terminology and procedures.
