About the position

The Front Desk position is a contract role focused on providing administrative support and guest services at the office. The role involves managing visitor registrations, coordinating schedules, and ensuring a welcoming environment for clients and guests. The position requires strong customer service skills and the ability to handle various administrative tasks efficiently.

Responsibilities

  • Answering phones
  • Registering visitors
  • Coordinating visitor schedules
  • Attending to break room (keeping coffee and snacks supplied)
  • Providing administrative support to a department or office location
  • Supporting reception and guest services, mail services, phone, meeting rooms, and location services
  • Receiving and directing incoming calls to appropriate personnel and voicemail
  • Greeting and announcing clients, applicants, and visitors
  • Following security procedures for recording guests, suppliers, and other visitors
  • Arranging escorts as needed
  • Issuing visitor passes and validating parking
  • Assisting with scheduling and preparing meeting and conference rooms
  • Coordinating setup of conference/meetings rooms
  • Arranging for and reserving projectors and other meeting equipment, ensuring equipment is in good operating condition
  • Arranging video and/or web conferencing as needed
  • Coordinating catering for meetings and events
  • Negotiating pricing and menus for catering
  • Securing approvals for catering expenses and reviewing invoices to arrange billing to appropriate department or business unit
  • Performing general clerical duties associated with distributing office faxes, packages, and mail as required

Requirements

  • 2 years of customer service experience
  • Ability to comprehend and interpret instructions, short correspondence, and memos
  • Ability to write routine reports and correspondence
  • Ability to respond to common inquiries or complaints with a strong customer service orientation
  • Ability to calculate simple figures such as percentages
  • Ability to understand and carry out general instructions in standard situations
  • Ability to solve problems in standard situations
  • Basic analytical skills
  • Intermediate skills with Microsoft Office Suite
  • Ability to work flexible work schedules based on office needs

Benefits

  • Pay range of $14.00 - $15.62 per hour
  • Expected hours: 40 per week
  • Day shift, Monday to Friday
