About the position

The Mailroom Assistant II at HomeStreet Bank plays a crucial role in supporting the daily operations of the Corporate Facilities team, focusing primarily on mailroom activities and facilities support. This position involves managing mail services for the corporate headquarters and branch locations, ensuring efficient sorting and distribution of mail, and assisting with various administrative tasks related to facilities maintenance.

Responsibilities

  • Assist with receiving courier bags from all branches and efficiently sort and distribute contents.
  • Sort incoming and outgoing mail along with courier packages.
  • Deliver mail to Home Office departments twice daily.
  • Receive and log deliveries, notifying designated recipients in a timely manner.
  • Prepare branch mail bags for pick up by contract courier at the end of the day.
  • Process FedEx, UPS, and other courier packages for shipment.
  • Assist various departments with bulk mailings and inquiries.
  • Order paper products and office supplies for Home Office and branches.
  • Review and process invoices for payment, ensuring accuracy.
  • Field incoming calls from employees and vendors on the Corporate Facilities help line.
  • Document procedures and maintain vendor databases.
  • Maintain and monitor access card system for building access.
  • Provide new employees with access cards and ensure return of cards for departing employees.

Requirements

  • 1 year related experience required.
  • High School diploma or equivalent required.
  • Strong computer skills, with proficiency in Microsoft Office products and Email.
  • Good communication skills - phone, written, and personal contact.
  • Strong emphasis on excellent customer service.
  • Ability to work within deadlines and under pressure.
  • Strong initiative, multi-tasking abilities, and problem-solving skills.
  • Ability to be adaptable and flexible; desire to work cooperatively with others.
  • Maintain effective communication and working relationships with co-workers and managers.
  • Regular and punctual attendance is essential.
  • Willingness to assume additional responsibilities as they arise.
  • Ability to maintain a professional appearance at all times.
  • Ability to regularly lift 20-50 lbs.
