About the position

The Medical Records Manager at Planned Parenthood North Central States is responsible for overseeing the management of medical records and patient support services. This role involves supervising a team, ensuring compliance with health information management standards, and enhancing patient experience through effective communication and centralized services. The position requires a commitment to diversity and inclusion while promoting a culture of teamwork and mutual support within the organization.

Responsibilities

  • Directly supervises Centralized Services Associates and specialists providing patient support over the phone.
  • Manages medical records requests and prior authorizations, facilitating patient communication.
  • Ensures timely response to Release of Information (ROI) submissions and maintains customer service levels for all Medical Records team functions.
  • Interfaces with Patient Services leadership and Health Center leadership to leverage centralized patient care benefits.
  • Audits health services operations to identify opportunities for centralization to increase patient-facing capacity.
  • Builds relationships within the organization to support health centers and improve patient experience.
  • Maintains and improves the Centralized Services Knowledge Base System (KBS) and facilitates training for associates.
  • Participates in workgroups to ensure consistency and collaboration across Health Services.
  • Provides expert leadership to the Medical Records team and promotes a culture of teamwork.
  • Monitors daily systems and procedures to ensure excellent employee performance and customer service.
  • Analyzes and submits necessary reports accurately and timely, creating measurable goals for department operations.
  • Implements process improvement activities to achieve department goals and evaluates results.

Requirements

  • Four years of experience working in a health care setting.
  • Two years of supervisory/leadership experience.
  • Experience working with confidential information.
  • Ability and willingness to travel as needed within PPNCS.
  • Experience working with high risk or underserved populations (youth, women, minorities, LGBTQ, etc.).

Nice-to-haves

  • Experience with electronic health records (EHR) systems.
  • Knowledge of health information management regulations and standards.
  • Strong analytical and problem-solving skills.
