About the position

The Office Manager for Admissions at Mount Saint Mary's University plays a crucial role in supporting the recruitment and enrollment efforts of the Admission teams. This position ensures the efficient operation of the Doheny Admission Office, serving as the first point of contact for visitors and managing various administrative tasks. The role requires collaboration with Admission staff and involves overseeing student workers, managing office supplies, and participating in admission events.

Responsibilities

  • Serve as the initial point of contact for visitors and phone calls to the Doheny Admissions Office.
  • Oversee the appearance and functionality of the Admission reception area.
  • Support the Admission staff by scheduling information sessions and tours, managing room reservations, and overseeing departmental email accounts.
  • Hire, train, and supervise Doheny student workers in partnership with the Campus Visit Coordinator.
  • Support recruitment and enrollment efforts in collaboration with Admission Counselors and Enrollment Events Manager.
  • Contact prospective students via phone, email, and text.
  • Process invoices and reimbursement requests for Admission staff.
  • Manage inventory of office supplies and publications.
  • Participate in admission events throughout the year, including some weekends and evenings.
  • Provide administrative support to the Admission team and participate in staff meetings.

Requirements

  • General knowledge of undergraduate admission and higher education.
  • Experience with enrollment management and data systems, particularly Slate CRM is a plus.
  • Ability to effectively organize, prioritize, and handle multiple tasks to meet deadlines.
  • Excellent customer service, oral/written communication, listening, and interpersonal skills.
  • Spanish fluency is beneficial.
  • Ability to communicate effectively with people from diverse backgrounds.
  • Patience and flexibility in a dynamic work environment.
  • High school diploma or equivalent.
  • Minimum one year of experience in an in-person office environment with substantial phone and interpersonal interaction.
