About the position

The Mailroom Associate (On Call) provides exceptional office and mail services in a flexible capacity, covering for regular employees who are out of the office or assisting with specific projects. This role involves a variety of tasks including mail handling, reception duties, and support for office services, all while maintaining a professional image and delivering high-quality customer service.

Responsibilities

  • Provides 5-star customer service to all employees in all forms of communication.
  • Answers all calls and provides an exceptional customer service experience for all incoming/outgoing visitors.
  • Assists with light facilities duties, such as troubleshooting tickets and ordering supplies.
  • Receives inbound mail/packages, sorts incoming mail, and inputs data into chain of custody software.
  • Manages outgoing mail/package transactions and notifies employees upon receipt of deliveries.
  • Distributes mail/packages to company personnel and assists with office moves.
  • Assists with copy/print orders and monitors copy/print equipment functionality.
  • Helps set up/take down conference rooms for meetings/events as needed.
  • Proactively seeks out additional work during downtime and builds professional relationships with customers and teams.
  • Maintains professionalism and composure when interacting with all employees.
  • Trains back-up staff and provides guidance on policies and procedures.
  • Determines additional support needed for handling sensitive inquiries.
  • Provides reception or concierge coverage as needed.

Requirements

  • High School Diploma (or equivalent) required.
  • 6+ months prior work experience preferred.
  • Strong verbal and written communication skills.
  • Excellent customer service skills.
  • PC skills with MS Office Suite experience.
  • Ability to handle multiple tasks simultaneously and good organizational skills.
  • Working knowledge of MFD equipment and shipping/receiving procedures.
  • Ability to work independently and complete projects.
  • Ability to determine correct packing methods and validate packing slips for accuracy.
  • Ability to work flexible schedule and hours.

  • Current knowledge or ability to learn computer-based systems required for functions of position.
  • Excellent organizational and time management skills.
  • Analytical abilities and aptitude in problem-solving.
