About the position

The Operations Manager at AbsoluteCare plays a critical role in overseeing various administrative functions to ensure the efficient operation of the care center. This position supports the Regional Director of Clinical Operations and is responsible for managing front office operations, patient access, and other essential services, while promoting a patient-centered approach to care.

Responsibilities

  • Serve as the first line support resource for the (Regional) Director, Clinical Operations.
  • Manage front office/patient access operations and communications, transportation, referrals, medical records, housekeeping, and security.
  • Support facilities management as needed.
  • Oversee front desk operations including answering calls, scheduling appointments, and triaging member issues.
  • Problem-solve daily operational issues.
  • Collaborate with other departments on quality assurance monitoring and reporting.
  • Implement and evaluate policies, procedures, and program content.
  • Select, orient, train, counsel, discipline, and direct staff within areas of responsibility.
  • Conduct quality assurance activities through reviews, meetings, and observations.
  • Evaluate and monitor program needs and address unmet needs systematically.
  • Collaborate with the compliance team to ensure standards are met.
  • Manage administrative supplies efficiently.
  • Organize recruitment and orientation for staff.
  • Conduct investigations of patient grievances and complaints.
  • Organize and coordinate office projects and meetings.
  • Mitigate liability risk within the practice.
  • Conduct in-service training and prepare necessary reports.
  • Direct staff participation in fire drills and disaster evacuations.
  • Administer time management for staff and promote core values.

Requirements

  • Associate degree required; bachelor's degree preferred.
  • Minimum of 3 years' experience with a bachelor's degree or 5 years with an associate degree in managing a physician practice.
  • Experience in a Patient-Centered Medical Home (PCMH) or primary care office is preferred.
  • Knowledge and experience with medical billing and coding.
  • Excellent computer skills, including knowledge of Microsoft Office.
  • Excellent organizational skills.

  • Ability to multi-task.

  • Experience in a healthcare setting with vulnerable populations.
  • Familiarity with quality assurance monitoring programs.
