About the position

The Operations Specialist for Key Accounts at JAS Worldwide is responsible for managing air and ocean import and export shipments for key account customers, ensuring exceptional customer service and compliance with regulations. This role involves overseeing the Customs House Brokerage process, preparing and processing shipments, coordinating freight dispatch, and managing invoicing and job costing. The specialist will also monitor customer shipping trends and support sales efforts, all while maintaining high standards of service and compliance.

Responsibilities

  • Provide outstanding, white-glove customer service to key accounts by promptly addressing inquiries and managing shipments per customer-specific SOPs.
  • Prepare, review, and process customer shipments with required documentation, ensuring accuracy and proper sequencing.
  • Coordinate freight dispatch for delivery, maintaining regular communication with truckers for timely updates.
  • Support sales and department managers in preparing competitive quotes for clients.
  • Track and manage customer bookings and shipments, providing timely updates on statuses or delays.
  • Arrange deliveries, collect proof of delivery (POD), and complete costing and invoicing of all files.
  • Ensure accurate job costing by managing payables, receivables, and accruals in accordance with company policies.
  • Invoice customers for each file, verifying payment terms for the responsible party.
  • Resolve discrepancies in payables by collaborating with vendors and overseas offices.
  • Monitor customer shipping trends and report significant changes to management.
  • Evaluate customer performance and recommend adjustments to enhance support levels.
  • Serve as a backup for team members when required, demonstrating versatility and cross-functional knowledge.
  • Uphold compliance standards within the department and proactively address issues.

Requirements

  • Minimum of 5 years' experience managing air and/or ocean shipments in the freight forwarding industry.
  • Strong knowledge of U.S. customs laws, regulations, and procedures.
  • Exceptional customer service and communication skills.
  • Excellent organizational abilities with a strong attention to detail.
  • Proficient in computer skills; experience with the Microsoft Office Suite is an advantage.
  • Capable of multitasking, meeting deadlines, and thriving in both team-oriented and independent work environments.

Nice-to-haves

  • Preferred experience handling both import and export shipments across air and ocean services.
  • Experienced handling Aerospace or High-Tech shipments.
  • Prior experience using CargoWise (C1) is a plus.
  • Knowledge of Importer Security Filing (ISF) preferred.
  • Good working knowledge of Incoterms required.
