About the position

Accurate Machine and Tool Corporation (AMT) is seeking to fill our front desk/receptionist role. In this position, the selected applicant will be responsible for managing our front desk on a daily basis and performing a variety of administrative and clerical tasks, with a significant focus on meeting our data entry needs. This role is essential for providing excellent customer service, as you will interact with a diverse range of personnel, including both our customer base and our internal staff. As the first point of contact for visitors, you will greet and welcome guests as soon as they arrive at the office, ensuring a positive first impression. You will direct visitors to the appropriate person and office, answer, screen, and forward incoming phone calls, and provide basic and accurate information in-person and via phone or email. Maintaining a tidy and presentable reception area is crucial, as is ensuring that all necessary stationery and materials are readily available. In addition to these front desk responsibilities, you will also be tasked with receiving, sorting, and distributing daily mail and deliveries, maintaining office security by following safety procedures, and controlling access via the reception desk. This includes monitoring the logbook and issuing visitor badges. You will order office supplies and keep an inventory of stock, as well as keep updated records of office expenses and costs. Other clerical duties may include filing, photocopying, transcribing, and faxing as needed.

Responsibilities

  • Greet and welcome guests as soon as they arrive at the office
  • Direct visitors to the appropriate person and office
  • Answer, screen, and forward incoming phone calls
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
  • Provide basic and accurate information in-person and via phone/email
  • Receive, sort, and distribute daily mail/deliveries
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
  • Order office supplies and keep inventory of stock
  • Keep updated records of office expenses and costs
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role
  • Proficiency in Microsoft Office Suite
  • Ability to operate and maintain focus in a fast-paced environment
  • Hands-on experience with office equipment (e.g. fax machines and printers)
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Customer service attitude
  • High school diploma or GED; additional certification in Office Management is a plus
