About the position

The RM Billing Specialist is responsible for processing customer and financial reports for multi-site locations, managing account statuses, and addressing inconsistencies. This role involves data entry, invoice verification, and coordination of accurate reporting with customers and company databases.

Responsibilities

  • Data entry of monthly vendor invoice information into master billing spreadsheets.
  • Prepare monthly billing and ensure supporting documentation is available at the time of invoice.
  • Prepare quarterly rebate check requests and follow processing to completion.
  • Ensure monthly cost and rebate accruals are processed.
  • Approve vendor invoices.
  • Responsible for a variety of monthly and quarterly reporting of customer and vendor information.
  • Assist with customer quotes for new work.
  • Act as the key customer service contact for assigned customers, ensuring timely responses to inquiries.
  • Coordinate with vendors to complete documentation necessary for approved vendor status.
  • Maintain up-to-date volume reports and waste compliance databases for assigned customer locations.
  • Create purchase orders for suppliers.
  • Participate actively in the FCA PDC and Non Man, communicating regularly with Project Managers, Finance, and Purchasing.
  • Handle other work as requested by the ESG leadership team.

Requirements

  • Minimum Associates Degree in Business Administration or Environmental Sciences or 4 years of relevant experience in a billing/customer service position.
  • Experience working in a fast-paced business office.
  • Proficient skill level with Microsoft Office Suite, especially Excel.
  • Work experience with business process management software (ERP) and automated workflows.
  • Ability to meet strict deadlines with a high level of attention to detail.
  • Professional writing and speaking skills.
  • Polished customer service skills with an emphasis on efficient and positive troubleshooting via phone and email.
  • Clear and concise speaking style with the ability to effectively present information at all levels within the organization.
