The Scheduling Specialist at Northwest Health - La Porte is responsible for the accurate scheduling and pre-registration of patients seeking services. This role emphasizes outstanding customer service, effective communication, and collaboration with both internal and external stakeholders to ensure a positive experience for patients. The specialist will handle data collection, insurance verification, and maintain confidentiality while meeting scheduling standards and expectations.

Responsibilities

  • Schedule patients to meet the standard of encounters of 40-45 patients daily.
  • Monitor call lights to ensure no abandoned calls occur, maintaining an abandoned call rate of 10 or less.
  • Follow up with voicemail messages in a timely manner.
  • Explain payment procedures and assist in the collection of co-payments and deductibles.
  • Pre-register patients with accurate data collection and insurance verification, aiming for 96% pre-registration of scheduled patients.
  • Receive and verify physician orders for patients prior to testing.
  • Maintain confidentiality of patient information at all times.
  • Gather accurate information for the billing and collection process, achieving a registration accuracy of 96% or greater monthly.
  • Communicate detailed preparation for tests to relevant parties, including physicians and nursing staff.
  • Follow cash policy and compliance guidelines in all transactions.
  • Answer the telephone within two rings in a professional manner.
  • Participate in mandatory staff meetings and educational offerings.
  • Register/pre-register 25-30 patients daily.
  • Adjust hours as needed during special occasions or emergencies.

Requirements

  • High school diploma or equivalent required.
  • Medical Terminology course preferred.
  • Associates or Bachelor's degree in a related field preferred.
  • 1-2 years of insurance experience helpful.
  • 1-2 years of previous customer service experience required.
  • Minimum of one year experience in a scheduling functions role in an office environment preferred.
  • Strong customer service skills.
  • Typing skill at 40 wpm or higher.
  • Extensive knowledge of interviewing customers and insurance processes.
  • Proven record of improving patient experience and resolving potential barriers.

Nice-to-haves

  • Associates or CHAA certification preferred.
