About the position

We are seeking a highly organized and detail-oriented Spanish Bilingual Executive Assistant to provide top-level administrative support to our real estate team remotely. This role focuses on assisting senior leadership with essential tasks, managing communications, and ensuring smooth operations in a fast-paced, client-centric real estate environment. The ideal candidate will have a proactive mindset, exceptional organizational skills, and the ability to handle confidential information discreetly, adapting quickly to the needs of busy executives in the real estate field.

Responsibilities

  • Provide high-level administrative support to the executive team, managing complex calendars, scheduling meetings, coordinating property tours, and arranging travel and accommodations.
  • Serve as the main point of contact between executives, clients, agents, and other stakeholders, handling all communications professionally and maintaining a client-centered approach.
  • Assist with transaction-related tasks, including preparing and reviewing real estate documents, coordinating property listings, and following up on closing processes.
  • Organize and prepare agendas and materials for internal meetings, client presentations, and property showings, taking detailed notes and tracking follow-up actions.
  • Conduct research on real estate trends, competitor properties, and market insights, compiling data into clear and actionable reports for the executive team.
  • Draft, edit, and organize property-related documents, contracts, and correspondence, ensuring all information is accurately maintained in the CRM system.
  • Efficiently manage and prioritize tasks and deadlines, helping executives address critical tasks and maintain optimized schedules.
  • Track expenses, process reimbursements, and maintain financial records, following company policies and budget guidelines.
  • Foster strong client relationships by responding to inquiries promptly, scheduling follow-up meetings, and delivering exceptional service.

Requirements

  • At least 3 years in an Executive Assistant role or similar capacity, ideally in real estate or a client-facing industry.
  • Fluent in both English and Spanish, with excellent verbal and written communication skills.
  • Strong organizational abilities with a high level of attention to detail and the capacity to handle multiple priorities in a fast-paced industry.
  • Knowledge of real estate processes, including an understanding of transaction workflows, terminology, and property listing processes.
  • Proficiency in Microsoft Office Suite, Google Workspace, CRM systems, and real estate management tools (e.g., DocuSign, MLS platforms).
  • Ability to quickly identify potential issues and find solutions while adapting to the evolving needs of the real estate industry.
  • Strong interpersonal and communication skills, with a customer-service mindset and the ability to interact effectively with clients, agents, and third parties.
  • Willingness to work flexible hours, including occasional evenings or weekends, to support transaction timelines and client needs.

Nice-to-haves

  • Familiarity with real estate licensing or certification is advantageous.
  • Experience in managing or supporting project timelines within the real estate industry.
  • Proficiency in additional languages is a plus, especially for client-facing interactions.
