About the position

The Spec Purchasing role at VITAS Healthcare Corporation is responsible for procuring goods and services as an agent for the organization. This position involves managing requisitions, estimating values, researching vendors, preparing purchase orders, and ensuring effective service delivery while adhering to company policies and regulations.

Responsibilities

  • Receive requisitions from various departments and clarify details via phone, email, or ticketing system.
  • Estimate values based on market pricing and identify cost savings opportunities.
  • Research vendors and obtain product or service information such as price, availability, and delivery schedules.
  • Determine the best method of procurement and evaluate vendors based on quality, timeliness, and price.
  • Prepare electronic purchase orders using financial software like PeopleSoft.
  • Review bid proposals and negotiate purchases within budgetary limitations.
  • Approve commitments to purchase goods and services within the scope of authority.
  • Expedite delivery of goods to users and maintain procurement records.
  • Prepare reports and letters using personal computer systems and equipment.
  • Discuss defective or unacceptable goods with inspection or quality control personnel and take corrective action.
  • Review monthly invoices for proper charges and allocation to departments, forwarding approved invoices for payment approval.
  • Attend meetings, training activities, and other work-related activities as required.
  • Assist in implementing new national account agreements for company locations.
  • Assist in procurement/negotiations of travel expense management agreements.
  • Identify and implement tactics to drive cost savings in product categories.
  • Coordinate with internal teams to monitor inventory and determine supply needs.
  • Act as a liaison between internal customers and vendors to ensure effective service delivery.

Requirements

  • 2-3 years of purchasing experience specializing in office-related products and services.
  • Working knowledge of purchasing concepts, practices, and procedures.
  • Ability to manage multiple assignments simultaneously.
  • Strong communication skills, both verbal and written, to resolve problems and negotiate resolutions.
  • Proficient in using computers and navigating automated purchasing systems, including software packages like PeopleSoft, Teams, Outlook, and Word.
  • Proficient in Excel; knowledge of financial analysis or accounting is a plus.
  • Associate degree or Certified Purchasing Professional (CPP) preferred; Bachelor's degree is a plus.
