About the position

The Special Assistant to the Chief of Staff at the Office of the Brooklyn Borough President is a full-time role focused on providing administrative support to the Chief of Staff and the executive team. This position involves scheduling meetings, coordinating events, managing communications, and ensuring efficient operation within the office. The role requires a proactive individual who can handle multiple tasks and maintain excellent customer service while supporting the Chief of Staff's initiatives.

Responsibilities

  • Schedule meetings, events, and speaking engagements for the Chief of Staff.
  • Complete administrative duties including meeting notes and communication coordination.
  • Facilitate communication between the executive unit and internal/external departments and constituents.
  • Manage the Chief of Staff's calendar, appointments, and travel arrangements in the absence of the executive assistant.
  • Draft and edit correspondence and other documents on behalf of the Chief of Staff.
  • Provide excellent customer service experience both online and offline.
  • Serve as a secondary point of contact for the executive assistant.

Requirements

  • A baccalaureate degree from an accredited college and two years of experience in community work or community-centered activities; or
  • High school graduation or equivalent and three years of experience in community work or community-centered activities; or
  • Equivalent education and/or experience to the above, with at least two years of relevant experience.

Nice-to-haves

  • At least 3 years of administrative experience as a scheduler, executive assistant, or in a relevant position.
  • Excellent written and verbal communication skills.
  • Outstanding attention to detail, especially in managing calendars and written communication.
  • Ability to manage time effectively in a fast-paced environment.
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and familiarity with virtual platforms (WebEx, Zoom, Microsoft Teams).
  • Excellent organizational skills with the ability to manage multiple projects simultaneously.
  • Exceptional problem-solving skills and ability to prioritize tasks.
  • Fluency in a foreign language such as Spanish, Mandarin Chinese, Cantonese, Russian, Korean, Haitian Creole, Arabic, Bengali, Hindi, Urdu, Yiddish, or Hebrew.
