About the position

The Special Education Services Secretary plays a crucial role in supporting the administrative functions of the Special Services department. This position is responsible for managing paperwork, handling inquiries, maintaining confidential records, and ensuring compliance with special education regulations. The secretary will assist the Director of Special Services by relieving them of administrative burdens, allowing for a focus on educational administration and student services.

Responsibilities

  • Ensure the safety of students
  • Handle inquiries/concerns from staff members or parents requesting appointments
  • Interact and listen to legitimate concerns and make appropriate referrals
  • Place, receive, and screen telephone calls and record messages
  • Perform secretarial duties for the special services department as requested
  • Maintain respect and security regarding confidential matters
  • Maintain an orderly file system for the special services department
  • Verify various forms for Student Services Department staff
  • Manage requisitions relating to the general fund and special accounts
  • Keep current with special education rules and regulations
  • Maintain a database of special education and gifted student information
  • Make contact with the public and various agencies with tact and diplomacy
  • Maintain a schedule of appointments and arrange conferences and interviews
  • Compile information and arrange tutors for home instruction services
  • Prepare and disseminate materials to all areas of the school district
  • Handle requests from other agencies/schools for special education student records
  • Utilize software applications to design various forms and publications
  • Prepare paperwork for parents wanting students evaluated for preschool
  • Maintain records and enter information into Medicaid software
  • Work with the county Gifted coordinator for proper reporting
  • Prepare files for auditor for the Medicaid audit
  • Interact positively with staff, students, and parents
  • Promote good public relations by personal appearance and attitude
  • Attend required meetings and in-services
  • Operate and maintain all office equipment
  • Handle routine correspondence independently
  • Attend work regularly and punctually
  • Demonstrate a positive work ethic

Requirements

  • High school diploma or equivalent
  • Excellent knowledge of word processing, typing, filing, and operation of common office equipment
  • Three to five years of successful experience as a secretary preferred
  • Ability to type at least 40 words per minute
  • Ability to work effectively with others
  • Effective communication skills, both orally and in writing
  • Organizational and problem-solving skills
  • Ability to generate correspondence independently
  • Ability to prioritize and complete job assignments from multiple supervisors
  • Ability to handle confidential matters and work well under pressure

Nice-to-haves

  • Experience in customer service
  • Familiarity with FileMaker Pro and Microsoft Office
