About the position

The Perfect Petal, an award-winning floral creative team based in Denver, is seeking a Special Event Operations & Logistics Manager to oversee the execution of special events and weddings. This role is pivotal in ensuring that events run smoothly from start to finish, requiring a detail-oriented professional with excellent communication skills and the ability to collaborate effectively with a diverse team. The ideal candidate will have experience in managing large-scale events, demonstrating strong leadership qualities and emotional intelligence, which are essential for fostering a positive work environment aligned with the company's core values. In this position, the Operations & Logistics Manager will be responsible for the development and execution of event logistics, including the ordering of supplies, scheduling of staff, and coordination with vendors. The role demands a proactive approach to problem-solving and the ability to manage multiple tasks simultaneously while maintaining a high level of service and quality. The manager will work closely with the Wedding Director and Event Directors, ensuring that all aspects of the events are executed flawlessly and that the team is supported throughout the process. The Perfect Petal prides itself on its unique approach to floral design and event planning, having built a reputation for creativity and excellence since its founding in 1995. The Operations & Logistics Manager will play a crucial role in upholding this reputation by ensuring that every event reflects the company's commitment to quality and innovation. This position is initially a contract role for the first 90 days, with the potential to become permanent based on performance and fit within the team.

Responsibilities

  • Oversee the ordering of event supplies and coordination of event-related services and vendors.
  • Schedule event staffing and manage event inventory ordering and reconciliation of post-event invoices.
  • Source and secure all elements for events, creating checklists for hard goods and props needed for each wedding and event.
  • Ensure props and product spending remains within budget and manage the ordering of all needed fabrication for events and weddings.
  • Schedule all warehouse floral processing staff and design staff, as well as set up and strike staff for events and weddings.
  • Ensure ordered floral products arrive as expected and work with sales to make appropriate replacements if needed.
  • Relay all invoices to accounting daily and assume leadership roles in weekly meetings with Directors and production meetings with department heads.
  • Provide clear direction to support staff in the Operations department and coach them on core values and performance.
  • Lead internal meetings with Operations support staff and meet regularly with Ops team and Wedding + Events teams to ensure project goals are achieved.
  • Establish and amend existing policies and procedures to improve efficiency and capture team feedback for process improvement.

Requirements

  • Minimum of 2 years of leadership experience in event management or a related field.
  • Proven management skills, including the ability to manage remote employees effectively.
  • Strong organizational and time management skills with a high sense of urgency to meet deadlines.
  • Excellent communication skills, both oral and written, with the ability to foster a culture of energy and passion.
  • Proficient in Microsoft Word, Excel, and Google Suite.
