About the position

The Special Operations Coordinator will play a crucial role within Security Industry Specialists, Inc. (SIS), a company dedicated to providing top-tier security solutions to renowned brands and organizations. This position is based in New York, NY, and is classified as exempt, meaning it is a full-time role that may require flexibility in hours and responsibilities. The Coordinator will be integral to supporting multiple field operations teams of Off Duty Officers (ODOs) who are assigned to various client portfolios. This role involves close collaboration with both SIS and client leadership to ensure that operational and service initiatives are effectively executed. The Coordinator will manage administrative support functions that are essential for achieving program objectives, ensuring that all tasks align with the company's commitment to excellence in service delivery. In this dynamic position, the Coordinator will be responsible for coordinating, scheduling, and managing assigned personnel, ensuring that daily interactions with client site and program leadership meet program expectations and requirements. The role requires a proactive approach to respond to emergent and last-minute client requests, ensuring compliance with security detail post orders and program Standard Operating Procedures (SOPs). Additionally, the Coordinator will manage departmental and project records to facilitate accurate processing and billing of security cases, handle timekeeping, and assist in the hiring, onboarding, and training of personnel across various locations. The Coordinator will also work closely with client stakeholders and SIS ODOs to foster a strong sense of teamwork and collaboration, while ensuring compliance with state security guard and firearms permit requirements. The ideal candidate will possess strong leadership skills, a positive attitude, and the ability to build cohesive and efficient teams. They must be capable of working independently with minimal supervision, demonstrating excellent customer service skills, and possessing strong analytical and problem-solving abilities. The role demands flexibility and the capacity to function effectively in stressful and fluid situations, along with excellent time-management, communication, and organizational skills. The Coordinator will also be expected to respond to client needs outside of normal business hours and may need to travel up to 40% of the time, making strong case management skills and a willingness to take ownership of cases essential for success in this role.

Responsibilities

  • Coordinate, schedule, and manage assigned personnel.
  • Daily interaction with client site and program leadership to ensure program expectations and requirements are being met.
  • Respond in a timely manner to emergent and last-minute client requests.
  • Ensure compliance with security detail post orders and program SOPs.
  • Manage departmental and project records to ensure accurate processing and billing of security cases.
  • Handle timekeeping, UTMs, and expenses of assigned personnel.
  • Assist in the hiring, onboarding, and training for existing and new locations.
  • Work closely with client stakeholders and assigned SIS ODOs to create a sense of 'team'.
  • Interact with SIS internal departments to ensure program and assigned personnel needs are being addressed.
  • Ensure ODO compliance with various states' security guard/firearms permit requirements.
  • Support ad-hoc and special requests as required.

Requirements

  • Must have a High School Diploma; AA or Bachelor's Degree preferred.
  • Minimum five years of experience in safety and security management, law enforcement, and/or military in a supervisory capacity.
  • Strong leadership skills with business maturity, enthusiasm, and a positive attitude.
  • Demonstrated ability to build cohesive, efficient, and high functioning teams.
  • Must be able to work independently with minimal supervision and support.
  • Must possess excellent customer service skills.
  • Demonstrated analytical and problem-solving skills.
  • Identify innovative solutions to complicated problems.
  • Must have the ability to multi-task.
  • Must be flexible and possess the ability to function in stressful and fluid situations.
  • Excellent time-management, communication, technical writing, presentation development, facilitation and organizational skills required.
  • Strong administrative skills.
  • Must be able to respond to client needs outside of normal business hours.
  • Ability to travel up to 40%.
  • Ability to remotely manage personnel.
  • Strong case management skills, and willingness to accept ownership of cases.
  • Must be proficient in Microsoft Word/Excel/PowerPoint.
  • Experience using SalesForce is highly preferred.
