About the position

The Special Projects Coordinator is responsible for overseeing and coordinating various senior-level tasks related to major department projects within the City Manager's Office. This role involves managing budgets, contract administration, and ensuring that projects are completed on time and within budget. The coordinator will assist in developing program guidelines and procedures while implementing and maintaining programs with minimal supervision.

Responsibilities

  • Oversight of projects, budgets, resources, and related activities to accomplish assigned missions.
  • Integrates administrative improvements by supporting operations, finance, budget, and other processes.
  • Plans and assesses assigned operations and related costs necessary to achieve project goals.
  • Coordinates and manages assignments and projects during planning and operations phases.
  • Estimates time frames, quality, identifies sources, and quantity of resources required for successful project implementation.
  • Oversees department projects and creates reports for upper management.
  • Ensures projects progress on schedule and addresses any delays in a timely manner.
  • Evaluates and inspects progress on assigned responsibilities, monitoring and reporting to senior management.
  • Develops and establishes appropriate communications and manages proactive information dissemination to employees, residents, and departments.
  • Examines and evaluates best practices for potential departmental process improvements.
  • Leads or participates in cross-functional project teams.
  • Monitors progress on assignments, special projects, services, operations, or construction activities according to established requirements and schedules.
  • May supervise employees on a regular or intermittent basis.

Requirements

  • Four (4) years of technical and professional level experience in the assigned subject matter area, including one (1) year of supervisory experience or training.
  • Bachelor's degree in project management, business, finance, public administration, planning, information technology, or a related field with four (4) years of relevant experience.
  • Master's degree with two (2) years of relevant experience or an equivalent combination of education, training, and/or experience.
  • Knowledge of public administration principles and practices, budget, finance, and project management systems.
  • Skill in identifying, analyzing, and resolving problems, along with strong interpersonal and communication skills.

Nice-to-haves

  • Experience with automated project management documentation and tracking processes.
  • Knowledge of construction procedures and general management practices.
