About the position

Riddleberger Brothers, Inc. is seeking to hire a talented, experienced leader to join our team as a Special Projects Manager. This individual will be responsible for all aspects of service projects, with direct responsibility for project estimation, quote preparation, and execution while leading a team or teams to accomplish specific objectives within a given time frame and with available resources. The position requires extensive knowledge of the HVAC/R service industry and a commitment to customer satisfaction and project profitability. The Special Projects Manager will oversee the timely completion of assigned projects, ensuring that all activities of the Small Project division are managed effectively. This includes making hiring decisions, conducting performance evaluations, and addressing employee performance issues. The manager will plan and analyze assigned projects, establish schedules and project parameters, and set procedures to accomplish system objectives. Communication with customers, subcontractors, and field support staff will be essential to ensure project success. In addition to managing project timelines and budgets, the Special Projects Manager will be responsible for maintaining the accuracy of forecasted costs at completion, monitoring and controlling expenses to ensure project profitability. The role also involves overseeing equipment, materials, subcontractor, and vendor orders, as well as ensuring compliance with state and local building regulations and permitting processes. The manager will generate technician work orders, review progress, and provide technical support and guidance to installation technicians. The Special Projects Manager will also be responsible for quote preparation, project cash flow management, billing preparation, and collections support. They will ensure that quality standards are maintained for all projects and will investigate customer concerns, implementing corrective actions as necessary. Establishing and maintaining professional relationships with customers is crucial, as is enforcing safe workmanship and OSHA regulations throughout the project lifecycle.

Responsibilities

  • Responsible for timely completion of assigned projects and customer satisfaction.
  • Manage activities of the Small Project division including hiring decisions and performance evaluations.
  • Plan and analyze assigned projects, establish schedules and project parameters, and set procedures to accomplish system objectives.
  • Communicate with customers and their representatives, including building owners, subcontractors, and field support staff on a consistent basis.
  • Examine and review contracts and estimates for accuracy and address discrepancies.
  • Maintain accuracy of the forecasted cost at completion.
  • Monitor and control expenses to ensure project profitability.
  • Create and revise project schedules as necessary.
  • Oversee equipment, materials, subcontractor, and vendor orders, recording receipts and approving payments.
  • Follow all state/local building regulations and permitting processes.
  • Receive and qualify subcontractor proposals and supervise work of assigned staff.
  • Generate technician work orders, review progress, and prioritize tasks.
  • Provide technical support and guidance to installation technicians.
  • Meet with contractors and owners to discuss project scope, budget, progress, and closeout.
  • Prepare quotes and create proposals for projects.
  • Manage project cash flow, billing preparation, progress billing, collections support, and resource management.
  • Handle change orders by recommending solutions, facilitating quotes, and closing orders.
  • Ensure quality standards are maintained for all projects.
  • Investigate customer concerns, implement corrective actions, and maintain customer satisfaction.
  • Establish professional relationships with customers, providing accurate status reports and project reviews.
  • Maintain and enforce safe workmanship and OSHA regulations.

Requirements

  • Two-year certificate from college or technical school or a minimum of two (2) years of HVAC project management experience.
  • Equivalent combination of education and experience.
  • Experienced and knowledgeable in contracting processes associated with the installation of mechanical projects and managing subcontractors.
  • Knowledge of commercial and industrial mechanical systems.
  • Valid driver's license.
  • EPA 608 Universal certification.
  • HVAC Masters/Journeyman certification.
