About the position

The Specialist - Academic Operations at Fox Valley Technical College is responsible for performing complex technical functions to support instructional operations. This role requires extensive knowledge of college procedures and information systems, serving as a functional and technical expert in academic programming and record systems. The position ensures compliance with WTCS and college policies while facilitating effective scheduling and resource management for various educational offerings.

Responsibilities

  • Organizes, analyzes, interprets, and reports data to identify student needs for courses and enrollment trends.
  • Presents data to department chairs and instructional leaders to improve instructional delivery efficiency.
  • Develops and revises courses in accordance with WTCS guidelines using the Academic Programming system.
  • Ensures alignment of course components with college policies and WTCS guidelines.
  • Sets up and communicates equipment requirements, course supplies, and additional fees to students.
  • Creates scheduling solutions in designated software for flexible instructional operations.
  • Schedules course sections for degree programs, continuing education, and community offerings.
  • Submits proposals for new degree program creation and modification, initiating the approval process.
  • Tests and validates course/program data in the College Enterprise Resource System.
  • Prepares instructor schedules and verifies accuracy of workload hours.
  • Generates and distributes Activity Pay for non-contract instructional hours and adjunct faculty.
  • Maintains adoptions of textbooks and materials for all courses in the College Enterprise Resource System.
  • Creates and submits textbook requisitions to ensure timely access to course materials for students.
  • Monitors textbook adoption status and coordinates with the College Bookstore to resolve issues.
  • Communicates with faculty and textbook publishers to ensure accurate updates and changes.
  • Creates documentation for students and faculty/advisors to assist with course planning.
  • Analyzes course data in the College Enterprise Resource System and WTCS database.
  • Researches course history and determines future course needs to satisfy WTCS requirements.
  • Updates courses based on changes in WTCS System Office requirements.
  • Anticipates issues and offers solutions related to enrollment and scheduling.
  • Schedules dual credit course sections in partnership with K12 schools.
  • Coordinates with K12 Partnerships and instructional liaisons for course section accuracy.
  • Utilizes room scheduling system for consistent course section and event scheduling.
  • Reviews and approves requests for usage of division space and resources.
  • Acts as a liaison to various college departments and provides excellent customer service.

Requirements

  • Associate Degree in a related field is required.
  • Three years of recent, related work experience is required.
  • Advanced skills in College Resource Management System technology are required.
  • Intermediate knowledge of Windows operating systems and MS Office Suite (Word, Excel, Outlook) is required.
