About the position

The Commercial Facilities Operations Specialist at Rivian plays a crucial role in ensuring that our retail locations operate efficiently while delivering an exceptional customer experience. This position supports the Commercial Facilities Operations Manager in managing new site openings and providing ongoing facilities support within the designated region. The specialist will oversee site improvements, handle repair and maintenance escalations, and manage landlord and construction warranty activities, all while maintaining close communication with local site teams to ensure that Rivian's high standards are consistently met throughout the process. In addition to managing new site openings, the specialist will be responsible for the rollout of large-scale programs and ad hoc projects, collaborating across multiple departments to achieve operational success. This includes establishing and maintaining relationships with key stakeholders, ensuring timely delivery of project tasks, and validating new projects and site improvement requests for the Facilities organization. The role also involves conducting site tours, warranty walks, and site visits, as well as maintaining accurate records and documentation for the region. The specialist will track and report key performance indicators, manage purchase requisitions and operating expenses, and implement facilities management programs and procedures to keep Rivian facilities operating at their best. The position requires a proactive approach to ensure that all repair and maintenance work order escalations are addressed promptly, with necessary corrective actions taken to exceed Rivian's expectations. The specialist will also host training sessions for local site teams to ensure adherence to brand standards and operational excellence.

Responsibilities

  • Manage the New Site Opening (NSO) process within your territory from development through project completion in partnership with various teams.
  • Establish and maintain relationships with key stakeholders and ensure on-time delivery of project tasks.
  • Intake and validate new projects and site improvement requests for the greater Facilities organization.
  • Conduct and attend potential new site tours, warranty walks, and site visits.
  • Update and maintain accurate records and official documentation for your respective region.
  • Track and report key performance indicators to be included in Quarterly Business Reviews.
  • Track, manage and analyze purchase requisitions and operating expenses; identify and report any inconsistent data.
  • Implement facilities management programs and procedures needed to keep the Rivian facility operating at its best.
  • Ensure all repair and maintenance work order escalations are responded to and take necessary corrective action in a timely manner.

Requirements

  • 4-5 years of facilities and/or project management experience.
  • Experience providing customer service in a fast-paced and dynamic environment.
  • Strong organizational skills with excellent attention to detail.
  • Strong and creative problem-solving skills.
  • Knowledge of project management tools; knowledge of CMMS software is a plus.
  • Proven project management skills, including knowledge of project management vocabulary and terminology.
  • Proven ability to manage third-party vendor relationships.
  • Experience reviewing lease documents and working closely with landlords/property managers is a plus.
  • Highly motivated, self-starter with the ability to shift focus quickly and adjust to rapidly changing priorities.
  • Excellent verbal & written communication and critical thinking skills; training experience is a plus.
  • Ability and willingness to travel up to 75% as needed.
