About the position

The Specialist Hiring Operations position is a critical role within the Human Resources department, primarily focused on supporting post-offer onboarding activities. This role involves a variety of tasks aimed at ensuring a smooth transition for new hires into the organization. The Specialist will be responsible for creating, maintaining, verifying, and organizing employee files, including I-9 forms and other essential documentation. This is crucial for ensuring compliance with all Equal Employment Opportunity (EEO) regulations and company policies. The Specialist will assist in completing the onboarding checklist, ensuring that all employment authorization guidelines are strictly adhered to in accordance with both company and government regulations. In addition to the primary responsibilities, the Specialist will collect, review, and upload various policies, procedures, standards, templates, and related Key Performance Indicators (KPIs). They will also assist with the initiation of I-9 forms, conduct involuntary servitude interviews, verify documents, and facilitate policy reviews and acceptance. Scheduling orientation dates for new hires is another key responsibility, along with managing rescheduled start dates or addressing no-show situations. The Specialist will administer new hire paperwork to ensure that all required documents are completed and uploaded appropriately. Other duties may be assigned as needed, making this a dynamic role that requires adaptability and attention to detail.

Responsibilities

  • Collect, review, and upload policies, procedures, standards, templates, and related KPIs.
  • Assist and support with I-9 initiation, involuntary servitude interview, document verification, policy review & acceptance, and schedule orientation date.
  • Support in rescheduled new hire start dates or no-show situations.
  • Administer new hire paperwork to ensure completion/uploading of all required documents.
  • Perform other duties as assigned.

Requirements

  • Bachelor's degree in Human Resources or related field preferred; equivalent work experience may be considered in lieu of higher education.
  • 2+ years of relevant work experience providing HR administrative support preferred.
  • Standard computer skills in Outlook, Excel, Word, and PowerPoint.
  • Excellent verbal and written communication skills; interpersonal skills are essential.
  • Ability to interact and communicate with individuals at all levels of the organization; bilingual is a plus.
  • Attention to detail in composing, typing, proofing, and analyzing materials; ability to work in a fast-paced environment with multiple competing tasks and demands; must maintain confidentiality.
