About the position

The position is focused on supporting the personnel documentation process for employees and ensuring compliance with current country legislation, specifically in Chile. The role involves managing the entire lifecycle of employee documentation, from the hiring process to exit management. This includes ensuring that all mandatory documents are received and processed in accordance with local laws, facilitating the signing of legal documents and company policies, and maintaining accurate records throughout the employee's tenure. The position also requires the preparation of documentation for audits and inspections, ensuring that the company adheres to legal and internal guidelines. In detail, the responsibilities include ensuring the receipt of mandatory documents to initiate the hiring process, maintaining contact with new employees, and ensuring that their contracts are signed in compliance with the law. The role also involves managing exit processes, whether voluntary, involuntary, or retirement, and ensuring that all related documentation is completed according to Chilean law. Additionally, the position requires the management of employment contracts, renewals, and any necessary annexes, as well as ensuring correct registration in government systems. The role demands a high level of organization and attention to detail, as it involves filing and managing various documents, including contracts, letters, and certificates. The successful candidate will also be responsible for updating personnel files and the HR database, ensuring that all information is current and accurate. Furthermore, the position requires assisting employees with legislation-related issues and providing guidance on company policies and administrative requirements. The candidate will also manage SAP actions to ensure that all data is up to date and accurate, supporting GBS HR operations as needed to meet service level agreements.

Responsibilities

  • Ensure receipt of mandatory documents to begin the hiring process and maintain contact with new employees.
  • Receive mandatory personal documentation in accordance with local laws.
  • Follow up with the respective registration in the systems and ensure the new employee's contract is signed according to law.
  • Ensure the signing of legal documents and company policies as needed during the employee lifecycle.
  • Manage exit processes, including involuntary, voluntary, and retirement exits, ensuring the related document kit is signed according to Chilean law.
  • Responsible for employment contracts, renewals, and annexes to the contract, ensuring correct registration in the government system.
  • Execute document management, including filing of documents, contracts, letters, certificates, and others, with correct registration in the local government system.
  • Prepare required documentation for demands, audits, or inspections to comply with legislation and company guidelines.
  • Maintain updated personnel file information and HR database throughout the employee lifecycle.
  • Assist employees with legislation-related issues and provide guidance on company policies and administrative requirements.
  • Manage all SAP actions to ensure accuracy and up-to-date information.
  • Support GBS HR operations as needed to accomplish service level agreements.

Requirements

  • University degree or equivalent education required.
  • Minimum 2 years experience in job or job function.
  • Broad and deep theoretical understanding of job function.
  • Attention to detail and organized approach to work.
  • Strong customer service skills.
