About the position

The Human Resources Specialist - Employee Benefits is responsible for maintaining the employee benefits program for the district. This role involves managing records and providing assistance to employees to ensure they effectively utilize their benefits. The specialist will perform various administrative tasks, including bookkeeping and secretarial duties, to support the employee benefits program. This position requires strong organizational skills, the ability to communicate effectively with individuals and groups, and proficiency in using software for data management and reporting. The specialist will also be involved in the preparation and distribution of materials related to employee benefits, as well as assisting during the Annual Open Enrollment period. Additionally, the role includes responsibilities such as maintaining inventory of benefits materials, coordinating payroll deductions, and ensuring compliance with safety rules and district policies. The specialist will serve as a point of contact for employees regarding benefits inquiries and will work closely with the Employee Benefits Committee to support its initiatives.

Responsibilities

  • Perform bookkeeping tasks and/or secretarial duties including typing, data entry, correspondence, filing, placing and receiving calls and visitors, new equipment set-up orders and scheduling appointments.
  • Order and maintain supplies, maintain records/quotations of purchase orders, and update inventory of equipment.
  • Assume responsibility for ordering supplies for all employee benefits programs as needed.
  • Work with appropriate personnel to schedule use of the meeting rooms for various meetings, seminars and workshops.
  • Assume responsibility for ordering food, submitting requests for equipment set-up, and requesting tables/chairs set up.
  • Prepare and distribute materials and handouts as needed.
  • Serve as secretary for Employee Benefits Committee.
  • Set up meetings, prepare and distribute all materials relating to the meeting.
  • Take and distribute minutes.
  • Maintain the sign in sheet and the distribution list for all members.
  • Greet visitors courteously, determine needs, direct or escort them to proper person, and ensure confidentiality of information.
  • Maintain inventory of all materials (I.D cards, forms, brochures, etc.) for district-provided insurances as well as voluntary benefits.
  • Receive and distribute all materials to employees eligible for these benefits as needed.
  • Assist with various tasks as assigned during Annual Open Enrollment to include assisting employees in enrolling in benefits, preparing packets, mailings, and other duties as assigned.
  • Serve as backup in new hire orientation to include enrolling and explaining benefits package to new district employees during orientation.
  • Accept and record payments received; make appropriate postings.
  • Enter all employee benefit payroll deductions pertaining to employee enrollment changes in an accurate and timely manner.
  • Coordinate all payroll deduction information with the payroll department prior to running semi-monthly and monthly payrolls.
  • Reconcile medical TPA billing and eligibility file to ensure that it coincides with new hires, cancellations, resignations, and monthly enrollment changes.
  • Make necessary corrections on employee deductions to ensure that they coincide with insurance coverage selected.
  • Reconcile monies due and owed by the District.
  • Assist with various aspects of administering the District's employee benefits plans as assigned.
  • Uphold and adhere to safety rules and policies of the SISD safety program.
  • Support the goals and objectives of the school district and follow all district policies.
  • Demonstrate the ability to attend work on a regular and routine basis to avoid disruption of district operations.
  • Perform any other duties as assigned by the appropriate supervisor.
  • Provide optimal customer service to all students, employees, parents, community members and any other stakeholders of the district.

Requirements

  • High school diploma required (or higher).
  • An Associate's degree in Business, Human Resources or relevant field (preferred).
  • A minimum of three (3) years of Human Resources benefits experience or relevant field.
  • Knowledge of administration of employee benefits programs and applicable laws.
  • Ability to interpret and disseminate insurance and benefits information to individuals and groups.
  • Strong organizational, communication, and interpersonal skills.
  • Ability to effectively present information in one-on-one and to small and large groups of employees.
  • Proficiency in keyboarding and file maintenance.
  • Ability to use software to develop spreadsheets, databases, and do work processing.
  • Knowledge of basic accounting principles.
