About the position

The Human Resources Specialist - Employee Leaves is responsible for implementing the district's leave program in accordance with established policies, rules, and regulations. This role involves processing and providing timely notifications and communications to employees and supervisors regarding leaves and absences. The specialist will work closely with campus and departmental administrative staff to manage daily absence reports and ensure compliance with various leave programs, including Family and Medical Leave (FML) and temporary disability leave. The position requires a strong understanding of leave administration, applicable laws, and district policies, as well as proficiency in desktop productivity applications such as the MS Office Suite. In addition to managing leave requests, the specialist will counsel employees and supervisors on leave benefits, ensuring that employees receive accurate information regarding deductions from pay, medical certification requirements, and return-to-work dates. The role also involves maintaining and reconciling employee leave records, including confidential medical information, in compliance with federal and state laws. The specialist will assist in preparing reports on employee leave status and utilization of leave programs, and will provide training to users of the absence management system to ensure correct utilization. The position requires strong time management skills, the ability to multi-task, and effective communication skills to interpret and disseminate information to individuals and groups. The specialist will also work cooperatively with the payroll department and risk management to process and coordinate all employee leaves and absences, including those related to workers' compensation claims. Responsibilities

  • Communicates with the campus and departmental administrative staff to process daily absence reports.
  • Reviews all long-term absences, determines eligibility for various leave programs including Family and Medical Leave (FML) and temporary disability leave according to established guidelines, and provides employees with timely notice.
  • Counsels with employees and supervisors concerning leave benefits and provides employees with accurate information on deductions from pay relating to absences, medical certification requirements, return-to-work dates, etc.
  • Reconciles leave information for service record module.
  • Works cooperatively with payroll department and risk management to process and coordinate all employee leaves and absences, including those relating to workers' compensation claims.
  • Assists with employee orientation program and presents information on leave benefits.
  • Maintains and reconciles employee leave records, including confidential medical information in accordance with federal and state laws and regulations in addition to district policies and procedures.
  • Inputs, accesses, and compiles data and assists with preparing reports on employee leave status and utilization of leave programs.
  • Assists in providing training to all absence management system users to ensure correct utilization.
  • Works with the coordinator who oversees Risk Management to verify status of district employees taking long-term absences to ensure employees are timely and correctly paid according to their leave balances.
  • Works cooperatively with payroll and other HR staff to ensure accuracy of leave reports.
  • Inputs leave days into the district database for all employees and verifies absence information as needed.
  • Distributes attendance and accrual reports as requested by various departments and campuses.
  • Runs pay docking reports for district employees and verifies accuracy of the information.
  • Runs personal leave reimbursement reports on part-time personnel for payroll and checks to ensure accuracy.
  • Maintains confidentiality of personnel matters.
  • Serves as a backup and provides support on leave information for the service record module.
  • Upholds and adheres to safety rules and policies of the SISD Safety program.
  • Supports the goals and objectives of the school district and follows all district policies.
  • Demonstrates the ability to attend work on a regular and routine basis to avoid disruption of district operations.
  • Performs other duties as assigned by the appropriate supervisor.
  • Provides optimal customer service to all students, employees, parents, community members and any other stakeholders of the district.

Requirements

  • High school diploma/equivalent or higher.
  • An Associate's Degree in Business, Human Resources or related field (preferred).
  • Knowledge of administration of leave programs and applicable laws.
  • Knowledge of district's administrative applications.
  • Knowledge of substitute tracking systems or similar systems.
  • Proficiency with desktop productivity applications (MS Office Suite).
  • Strong time management skills and ability to multi-task.
  • Ability to interpret and disseminate information to individuals and groups.
  • Three (3) years' experience in Human Resources, Risk Management, or related field.
