About the position

The Human Resources Specialist plays a crucial role in providing secretarial and administrative support within the Employee Relations department. This position is designed for individuals who possess strong clerical and computer skills, as well as the ability to communicate effectively with both district employees and the general public. The primary responsibilities include performing various administrative duties such as typing, correspondence, filing, and managing the flow of information within the office. The specialist will also be responsible for maintaining confidentiality regarding sensitive personnel matters and ensuring that all Employee Relations files are accurate and up-to-date. In addition to administrative tasks, the Human Resources Specialist will arrange appointments, greet visitors, and coordinate meetings, including grievance hearings and training sessions. The role requires a proactive approach to gathering and organizing data for investigations and reports, as well as assisting in the planning and presentation of training programs for new employees and substitute teachers. The specialist will also be involved in customer service training and will need to demonstrate the ability to diffuse potentially adversarial situations with district personnel or applicants. The position demands a high level of professionalism and the ability to work collaboratively with multiple directors and various projects simultaneously. The specialist will guide administrators and supervisors on grievance procedures and provide information related to district policies. This role is essential in supporting the goals and objectives of the school district while ensuring compliance with safety rules and policies. Overall, the Human Resources Specialist is a vital part of the Employee Relations team, contributing to the effective management of human resources within the district.

Responsibilities

  • Performs administrative duties associated with typing, correspondence, filing, preparing letters, and opening and distributing mail and screening telephone calls for redirection.
  • Arranges priority calendar for administrator.
  • Greets all visitors courteously, determines their needs, checks appointments and directs them to the proper person.
  • Maintains a schedule of appointments and makes arrangements for conferences. Schedules grievance hearings and coordinates association meetings with department directors, association representatives, and employees.
  • Maintains a professional level of confidentiality in the office regarding personnel/Employee Relations matters.
  • Obtains, gathers and organizes pertinent data as needed for Employee Relations files and investigations.
  • Maintains accurate Employee Relations files and keeps accurate logs and information in computer.
  • Administratively creates and maintains all files for Employee Relations including grievance files, complaint files, sexual harassment files, EEOC files, CPS cases, and legal cases; transfers relevant information to personnel files once completed.
  • Possesses the ability to diffuse adversarial situations with district personnel or applicants when complaints reach the Employee Relations department.
  • Communicates and gathers information as needed for SISD attorneys and attorneys representing employees as well.
  • Assists in gathering, analyzing and compiling data for reports and projects developed in the department.
  • Assists in planning and presenting Standards of Conduct training biweekly for new employee orientation.
  • Assists with the Standards of Conduct training for Substitute Teachers.
  • Assists in coordinating customer service training for all employees.
  • After grievance files have been closed, follows up to ensure that all suggestions and recommendations are followed through.
  • Assists in initializing investigations for misuse of technology.
  • Possesses the ability to work with multiple directors and various projects simultaneously.
  • Guides administrators, principals and supervisors on the grievance procedures and responses.
  • Provides information pertaining to SISD policies.
  • Meets with government agencies to review employee personnel files and provide background information on employees applying with the government.
  • Maintains a log of all calls and documents received in the employee relations division.
  • Transcribes and dictates for Employee Relations files as needed.
  • Performs administrative duties associated with the Employee Relations including typing, correspondence, and preparing letters.
  • Cooperates with other departments to research files in complying with Open Records requests.
  • When needed assists with subpoenas and communicates with SISD attorney.
  • Greets visitors courteously, determines their needs, and directs or escorts them to the appropriate personnel.
  • Assists the front desk when needed.
  • Provides messages and interprets information to the department administrators both verbally and electronically.
  • Assists in interview committees as needed.
  • Upholds and adheres to safety rules and policies of the SISD safety program.
  • Supports the goals and objectives of the school district and follows all district policies.
  • Demonstrates the ability to attend work on a regular and routine basis to avoid disruption to district operations.
  • Performs any other duties as assigned by the appropriate supervisor.
  • Provides optimal customer service to all students, employees, parents, community members and any other stakeholders of the district.

Requirements

  • High school diploma/equivalent or higher.
  • A minimum of three (3) years of Human Resources or secretarial experience.
  • Must possess clerical and computer skills including various software programs.
  • Demonstrate ability to effectively communicate with district employees and the general public.
