About the position

The Human Resources Specialist - Service Records plays a crucial role in the administration of service record data compliance within the organization. This position is responsible for a variety of tasks that include researching, analyzing, evaluating, interpreting, and administering service record data. The specialist will work closely with the payroll department and risk management to process and coordinate all employee leaves and absences, including those related to workers' compensation claims. This role requires a strong understanding of leave programs and applicable laws, as well as the ability to maintain both physical and computerized records for all district employees. In addition to managing service records, the Human Resources Specialist will assist with the employee orientation program, presenting information on leave benefits to new hires. The position demands excellent organizational, communication, and interpersonal skills, as the specialist will be required to handle incoming calls in a phone-intensive environment and provide optimal customer service to students, employees, parents, and community members. The ability to work independently, manage multiple priorities, and meet deadlines is essential, as is a keen attention to detail and strong analytical abilities. The specialist will also be responsible for performing mathematical calculations related to years of service and service record data adjustments. Maintaining confidentiality of personnel matters is critical, and the specialist must uphold and adhere to safety rules and policies of the SISD Safety program. Overall, this position supports the goals and objectives of the school district and follows all district policies, ensuring that all service record data is accurate and compliant with regulations.

Responsibilities

  • Reconciles leave information for service record module.
  • Works cooperatively with payroll department and risk management to process and coordinate all employee leaves and absences, including those relating to workers' compensation claims.
  • Assists with employee orientation program and presents information on leave benefits.
  • Prepares correspondence, forms and reports.
  • Maintains physical and computerized records for all district employees.
  • Be familiar with district leave policies, procedures, and eligibility provisions and utilize this information to accurately and efficiently respond to employee inquiries.
  • Perform mathematical calculations in computing years of service and service record data and adjustments.
  • Handle incoming calls accurately and efficiently in a phone-intensive environment.
  • Communicate effectively both orally and in writing as appropriate to the needs of the customer.
  • Work independently, manage multiple priorities and meet deadlines.
  • Works with the coordinator who oversees Risk Management to verify status of district employees taking long-term absences to ensure employees are timely and correctly paid according to their leave balances.
  • Works cooperatively with other HR staff to ensure accuracy of employee records and reports.
  • Inputs service record into the district data module.
  • Maintains confidentiality of personnel matters.
  • Serves as a backup and provides support on leave information for the service record module.
  • Upholds and adheres to safety rules and policies of the SISD Safety program.
  • Supports the goals and objectives of the school district and follows all district policies.
  • Demonstrates the ability to attend work on a regular and routine basis to avoid disruption of district operations.
  • Performs other duties as assigned by the appropriate supervisor.
  • Provides optimal customer service to all students, employees, parents, community members and any other stakeholders of the district.

Requirements

  • High School diploma/equivalent or higher.
  • An Associate's Degree in Business, Human Resources or similar field (preferred).
  • Three (3) years experience in Human Resources.
  • Knowledge of administration of leave programs and applicable laws.
  • Knowledge of district's administrative applications.
  • Knowledge of substitute tracking systems or similar systems.
  • Proficiency with desktop productivity applications (MS Office Suite).
  • Organizational, communication, presentation, training and interpersonal skills.
  • Demonstrate initiative, flexibility, and ability to manage workload and achieve results with minimal supervision.
  • Strong analytical abilities and attention to detail.
  • Strong time management skills and ability to multi-task.
  • Ability to interpret and disseminate information to individuals and groups.
  • Keen independent judgment in determining when to seek advice/assistance.
