About the position

The Specialist, Operations and Resource Management at Harvard Business School (HBS) plays a crucial role in supporting the Executive Education (ExEd) Operations and Resource Management team. This position involves collaborating with various operational groups to provide logistical support and operational guidance for over 10,000 events annually, including academic sessions and participant accommodations. The Specialist will manage space reservations, facilitate communication between teams, and ensure effective operational practices while maintaining a focus on customer service and relationship management.

Responsibilities

  • Function as the primary contact for all ExEd space reservation needs.
  • Manage the Program Resources & Operations shared inbox for ExEd space related requests.
  • Set agenda for and host bi-weekly meetings with program delivery teams.
  • Offer ad hoc meetings with Program Directors and Managers to review logistics.
  • Act as a liaison between Operations and Resource Management and program delivery teams.
  • Serve as an escalation point for time-sensitive process issues.
  • Facilitate clear communication between internal ExEd teams and other campus departments.
  • Nurture partnerships with HBS groups and advocate for ExEd needs.
  • Execute operational decisions in real time considering downstream implications.
  • Assist in maintaining an Operations and Resource Management Point site.

Requirements

  • High School Diploma, GED, or equivalent is required.
  • 5+ years of experience in administrative support role(s) and/or related experience is required.
  • Microsoft Office (Word, Excel, PowerPoint, and Outlook) experience is a must.

Nice-to-haves

  • Prior experience in delivering executive education programs is preferred.
  • A deep understanding of the roles and tasks of the Resource Allocation, Facilities and Emergency Management, and ExEd Operations teams is a key attribute.
  • Ability to thrive in a fast-paced, customer-centric environment.
  • Exceptional verbal and written communication skills are essential.
  • Excellent customer service and organizational skills.
