About the position

The Payroll Specialist is responsible for compiling and preparing the district's payroll, ensuring accuracy in salary adjustments, and managing retirement contributions and deductions. This role involves auditing time sheets, maintaining payroll records, and preparing necessary reports for compliance with federal and state regulations. The position requires collaboration with various departments to resolve payroll issues and maintain confidentiality of sensitive information.

Responsibilities

  • Prepares accurate district payroll for distribution to employees following established procedures.
  • Receives and audits time sheets for all district employees.
  • Calculates employee wages, salaries, hours worked, overtime pay, and determines withholdings, deductions, and net pay.
  • Balances payroll earnings and deductions; initiates related transfers of funds and deposits.
  • Maintains district payroll registers, employee payroll information, and other original documentation in an orderly and accurate manner.
  • Prepares and posts all payroll changes including payroll deductions, salary changes, termination, and new employee information.
  • Compiles, maintains, and files all reports, records, and other documents as required.
  • Prepares and submits payroll reports and forms required by various regulatory bodies.
  • Works cooperatively with human resources and other departments to ensure accuracy of information reported.
  • Resolves payroll problems and inquiries and responds to requests from financial institutions regarding verification of employment.

Requirements

  • High school diploma or GED.
  • 4 years of payroll accounting experience.
  • Knowledge of basic payroll accounting procedures.
  • Knowledge of applicable federal and state laws regarding education and students.
  • Ability to maintain accurate and auditable records.
  • Ability to use software to create spreadsheets, databases, and do word processing.
  • Ability to work with numbers accurately and rapidly to meet established deadlines.
  • Ability to organize and coordinate work.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to establish and maintain cooperative working relationships.
