About the position

The Payroll Specialist is responsible for ensuring the timely and accurate processing of biweekly payrolls while maintaining compliance with federal, state, and district regulations. This role involves managing payroll records, addressing employee inquiries, and collaborating with various departments to resolve payroll-related issues.

Responsibilities

  • Process file maintenance received from Human Resources and compute changes in salary.
  • Check and process traditional schedule absence sheets, cafeteria time sheets, and overtime time sheets.
  • Analyze and interpret leave slips and absences reported by all departments for each payroll.
  • Monitor custodial absence sheets.
  • Prepare and process manual checks and affidavits for lost paychecks or returned APD's.
  • Answer court orders for garnishments, child support, and tax levies, inputting information into employee records.
  • Provide a list of invalid personnel hours reported to prevent overpayment or underpayment of employees.
  • Investigate possible errors and problems with pay, absences, deductions, etc.
  • Monitor sick leave bank for correct hours awarded and compliance with guidelines.
  • Check all payroll information before payroll distribution.
  • Assist and investigate payroll problems for employees via telephone or in person.
  • Work closely with financial institutions for net pay distribution and correction of errors.
  • Collaborate with the Internal Revenue Service on tax levies and judgments against employee earnings.
  • Verify all final payments for terminated employees.
  • Assist in training new employees in the payroll department.
  • Work closely with the Education Retirement Board for proper monthly reporting of employee retirement funds.
  • Process quarterly assessment fees.
  • Monitor Workman's Compensation adjustments to District employee wages.
  • Assist Payroll Technicians as required.

Requirements

  • High School Diploma or equivalent
  • Four (4) years experience in payroll and/or accounting with at least two (2) years in payroll.
  • Proficient with word processing, databases, and spreadsheet software.
  • Calculator by touch skills.
