About the position

The Sponsored Research Administrator at Jefferson Lab plays a crucial role in managing the lab's Sponsored Research Program. This position involves both pre-award and post-award grants management, ensuring compliance with regulations and optimizing the use of funds for research projects. The administrator will work closely with Principal Investigators and lab division directors to coordinate funding opportunities and support the preparation and submission of grant proposals.

Responsibilities

  • Provide technical and administrative support to Principal Investigators (PIs) applying for competitive funding opportunities.
  • Serve as a liaison between the office and PIs, answering questions and providing instruction on procedures.
  • Research and coordinate pre-award preparation of proposals, identifying relevant grants and interpreting sponsor guidelines.
  • Coordinate communication of research priorities with lab division managers to stay aware of potential funding opportunities.
  • Schedule NOFO kick-off meetings to ensure requirements and timelines are met for each opportunity.
  • Conduct compliance reviews of proposals to address research compliance issues and ensure adherence to regulations.
  • Mitigate risks associated with the sponsored research program and ensure submission documents are error-free.
  • Provide backup for submitting proposals on behalf of the lab to various funding sites.
  • Work with the proposal budget analyst to facilitate budget estimates and documentation.
  • Track milestones and deliverables to ensure successful execution of proposals and agreements.

Requirements

  • Bachelor's degree or equivalent combination of higher education and experience.
  • 5 years of experience in the preparation and processing of research grant proposals and their administration.
  • Demonstrated experience in interpreting and applying policies and award terms from multiple levels of authority.
  • Currently holds the Certified Research Administrator credential or able to pass certification within 6 months of hire.
  • Experience with sponsor submission portals such as Grants.gov and PAMs.gov.
  • Proficient in Office365 tools including Power BI, Excel, and SharePoint.
  • Excellent written and oral communication skills.
  • Ability to manage a complex workload with multiple competing demands.
