About the position

The Center Coordinator/Administrative Assistant at Sprout Clubhouse plays a crucial role in supporting the operations of a therapeutic services center for children with Autism Spectrum Disorder and developmental delays. This position involves a variety of responsibilities including marketing, admissions, supply management, technology support, clerical tasks, human resources, clinical billing, and program support. The ideal candidate will contribute to creating a safe and supportive environment for children while ensuring efficient administrative processes.

Responsibilities

  • Create and maintain informational materials for marketing and communications.
  • Plan, create, and execute marketing through social media platforms such as Facebook and Instagram.
  • Build relationships with stakeholders and other providers.
  • Correspond with other providers to promote services.
  • Maintain the website with updates and changes.
  • Communicate news and updates to families through email correspondence.
  • Manage tours and the admissions/intake process for prospective families.
  • Provide excellent customer service over the phone, in person, and via email.
  • Assist in ensuring all new patient documents are completed accurately.
  • Maintain and organize inventory of supplies and purchase needed supplies online or in-store.
  • Communicate with landlords for repairs and maintenance needs.
  • Create and maintain emergency plans and ensure necessary materials are in place.
  • Assist in troubleshooting IT issues and maintain a center-wide database of usernames and logins.
  • Collect mail and visit the Post Office as needed, supporting supervisors with administrative requests.
  • Maintain patient records regarding demographics and payment information.
  • Analyze and submit weekly billing sheets and maintain a database of patient and parent information.
  • Assist with planning and executing enrichment activities for special events.
  • Coordinate monthly team meetings and generate a list of team-building activities.

Requirements

  • High school diploma or GED.
  • Highly proficient in Microsoft Office and Google Drive applications.
  • At least one year of experience in an office setting providing support to an administrative team.
  • Strong written and verbal communication skills.
  • Ability to multitask and manage time efficiently while working independently.
  • Strong organizational skills and attention to detail.
  • Pass a criminal background check.
  • Responsible, hardworking, and extremely organized.

Nice-to-haves

  • Bachelor's Degree.
  • Experience with Canva and MailChimp.
  • Experience with social media platforms for businesses.
  • Experience working with children with autism or special needs in a special education/school setting.
  • Knowledge of HIPAA regulations and compliance.
  • Experience with medical insurance billing.
