About the position

The Sr. Administrative Assistant at Veolia North America provides advanced administrative and clerical support to a specialized function or area within the organization. This role involves managing complex data, preparing reports, and ensuring efficient communication within the team. The position is crucial for maintaining organized documentation and supporting departmental human resource functions.

Responsibilities

  • Collects, compiles, and reviews complex data and information for reports and presentations.
  • Develops new and standard templates for departmental activities to maximize efficiency.
  • Creates, runs, and distributes standard and customized periodic reports.
  • Prepares basic reviews and analysis of reports for executive review.
  • Maintains organized computer and hard copy files for easy retrieval.
  • Performs administrative duties including preparing documents and correspondence.
  • Composes and initiates correspondence and memoranda, editing for clarity and accuracy.
  • Answers questions via phone or email, providing accurate information or technical guidance.
  • Enters data to maintain and update databases and spreadsheets, ensuring data integrity.
  • Assists with departmental human resource functions, including training and new hire orientation.
  • Assists others in the facility or office as needed.

Requirements

  • High school diploma or GED plus additional specialized courses or an Associate's Degree in a related field.
  • At least five years of directly related experience with thorough knowledge of departmental functions and procedures.
  • At least three years of internal experience preferred.
  • Effective oral and written communication skills with good vocabulary and grammar.
  • Excellent PC skills with thorough knowledge of MS Word, MS PowerPoint, MS Excel/Access.
  • Above average organization and communication skills to interact with multiple contacts.
  • Ability to handle diverse tasks simultaneously and meet production and quality goals.
  • Ability to handle confidential or sensitive information.
