About the position

The Sr. Administrative Assistant role at Robert Half is a contract to permanent position based in Thousand Oaks, California. The successful candidate will play a crucial client-facing role, managing schedules, coordinating events, and providing comprehensive administrative support in a fast-paced environment.

Responsibilities

  • Manage and coordinate scheduling and calendar events
  • Facilitate client communication and address customer inquiries
  • Organize and coordinate events as needed
  • Assist in making travel arrangements and completing expense reports
  • Use Microsoft Office and other software such as Concur and About Time to maintain and update records
  • Assist in budget processes and manage administrative tasks
  • Coordinate conference calls and meetings
  • Provide comprehensive administrative support as necessary
  • Ensure effective communication and coordination for open houses
  • Maintain a high level of professionalism and efficiency in a fast-paced environment.

Requirements

  • Minimum of 2 years of experience as an Administrative Assistant or similar role
  • Proficiency in Microsoft Office, including Word, Excel, and PowerPoint
  • Demonstrable experience with Concur and About Time software
  • Familiarity with budget processes and ability to assist in managing budgets
  • Proven experience in calendar management and scheduling
  • Excellent communication skills, both written and verbal
  • Experience in setting up and managing conference calls
  • Ability to provide high-level administrative assistance and support
  • Experience in coordinating events, from planning to execution
  • Expertise in making travel arrangements, including flights, accommodations, and itineraries
  • Ability to complete expense reports accurately and promptly.
