About the position

The Senior Administrative Project Coordinator for Community Life at Carnegie Mellon University plays a crucial role in supporting the mission of various departments within the Division of Student Affairs. This position involves providing comprehensive administrative support to the Associate Deans for Residential Education and First-Year Orientation and Family Engagement, as well as indirect support to related areas. The role is designed for individuals who thrive in dynamic environments and are committed to fostering inclusion and collaboration within the university community.

Responsibilities

  • Provide administrative support for events and services, including food orders, space reservations, and facility requests.
  • Coordinate complex administrative tasks for various programs or projects, such as data collection and mass mailings.
  • Act as a liaison with other university departments and outside organizations.
  • Manage schedules and calendars for supported leadership teams.
  • Assist in research, preparation, and processing of information for various projects.
  • Support managing departmental email accounts for relevant areas.
  • Serve as the initial contact for vendors and outside associations, providing information and coordination.
  • Prepare agendas, assemble data, and coordinate arrangements for meetings and workshops.
  • Take and distribute minutes for meetings.
  • Gather data and produce statistical and narrative reports for projects.
  • Draft correspondence, promotional materials, and reports for supervisor's approval.
  • Produce and assemble regular reports and summaries.
  • Respond to inquiries and requests regarding reports.
  • Perform other duties critical to the support of the Community Life Suite.

Requirements

  • High School/GED diploma required; Bachelor's degree preferred.
  • 3-5 years of administrative support and/or project coordination experience required.
  • Prior collegiate administrative coordination and project coordination experience preferred.
  • A combination of education and relevant experience may be considered.
