About the position

The Senior Assistant Facilities Manager plays a crucial role in supporting the Facilities Manager in overseeing the operations of a facility or campus environment. This management position involves direct and indirect supervision of building staff and operations, ensuring that all activities align with company best practices and client objectives. The Senior Assistant Facilities Manager is responsible for the day-to-day management of the facility, which includes janitorial services, life-safety protocols, engineering, site services, and general maintenance. The role requires a proactive approach to facility management, ensuring that all operations are carried out in accordance with Cushman & Wakefield policies and client directives. In this position, the Senior Assistant Facilities Manager will manage the building staff in the absence of the Facility Manager or Senior Facility Manager, performing all managerial functions as required. This includes overseeing maintenance programs, responding to maintenance requests from building occupants, and ensuring that all site-specific documentation and reports are completed accurately and on time. The role also involves preparing budgets and financial reports, collecting and analyzing statistical data, and ensuring compliance with insurance requirements for tenants and vendors. The Senior Assistant Facilities Manager must possess strong communication and leadership skills, as well as technical proficiency in facility management. The position requires a comprehensive understanding of management contracts, vendor agreements, and the ability to monitor and report on facility conditions. Additionally, the role involves hiring, training, and motivating facility personnel, maintaining positive staff relations, and conducting performance evaluations. This position is essential for maintaining a well-managed and maintained building, contributing to the overall success of the facilities organization.

Responsibilities

  • Manage the building staff in absence of the Facility Manager or Senior Facility Manager.
  • Oversee day-to-day operations of the facility, including janitorial, life-safety, engineering, site services, and general maintenance.
  • Supervise all maintenance programs relating to the interior and exterior conditions and appearance of the properties.
  • Respond promptly to requests for building maintenance, repairs, and cleaning needs from building occupants.
  • Compile information necessary to ensure all site-specific documentation and reports are completed accurately and on time.
  • Prepare budgets, financial reports, contracts, expenditures, and purchase orders related to the facility.
  • Provide information and reports necessary for the development of capital budgets for the facility.
  • Collect, analyze, and prepare reports of statistical data to assess facility management objectives.
  • Monitor and ensure compliance with insurance requirements for tenants and vendors.
  • Proactively inspect the facility and report findings to the Facility Manager.
  • Hire, train, and motivate facility personnel, maintaining positive staff relations.

Requirements

  • Associate's degree in facilities management, building, business or other related field required.
  • Minimum 3 years' relevant experience in commercial or industrial real estate with facility management experience required.
  • One year supervisory experience preferred.
  • Experience in maintenance, construction, engineering, and all facets of property operation and building management preferred.
  • CMMS/Work Order Management experience is preferred.
  • Ability to read and understand construction specifications and blueprints.
  • Proficient in understanding management agreements and contract language.
  • Skilled in Building Management Systems maintenance and monitoring.
  • Excellent computer and systems knowledge; strong literacy in Microsoft Office Suite (MS Word, Excel, PowerPoint).
  • Strong discipline of financial management including financial tracking, budgeting and forecasting.

  • Certified Facility Manager (CFM) certification recommended.
  • International Facilities Management Association (IFMA) certification recommended.
  • Building Owners and Managers Association (BOMA) industry certifications recommended.
  • Other Engineering, Business, or technical training or certifications a plus.
