About the position

Williams Lea is seeking a Sr. EDGAR Specialist to join our New York City office, working Monday to Friday from 11:00 am to 7:30 pm. This role is crucial for ensuring compliance with SEC regulations and involves converting various document formats into EDGAR compliant formats for filing. The ideal candidate will have a strong background in EDGAR operations, particularly with GoFiler Pro Software, and will be responsible for managing the intake of work requests, prioritizing tasks, and ensuring timely and accurate submissions to the SEC EDGAR system. In this position, you will be expected to communicate effectively with requestors regarding SEC compliance requirements and filing deadlines. You will also evaluate personnel performance alongside the Account Manager, assisting in the development of team skills and ensuring that all work adheres to established procedures. The role requires a proactive approach to client interactions, addressing any needs that arise and maintaining high standards of quality and service. As a Sr. EDGAR Specialist, you will also be responsible for training new and existing team members, facilitating coordination between shifts, and troubleshooting basic equipment problems. Attention to detail, strong organizational skills, and the ability to work in a fast-paced environment are essential for success in this role. You will be expected to lift up to 50 lbs. regularly and adhere to both Williams Lea and client site policies.

Responsibilities

  • Convert Word, Excel, PPT and PDF documents to EDGAR compliant format for filing with the Securities and Exchange Commission EDGAR System.
  • Effectively communicate SEC compliance requirements and filing deadlines to requestors.
  • Utilize appropriate logs for all office services work.
  • Evaluate personnel performance with the Account Manager and assist in the development and improvement of individual and team skills.
  • Perform work and intake functions according to established procedures.
  • Demonstrate proper professional expectations for team members when dealing with client requestors and client work requests, including meeting deadlines and delivering high-quality work.
  • Responsible for development and delivery of ongoing training of new and existing team members in existing processes.
  • Facilitate focus and coordination on and between shifts in the production of deliverables to the client in order to meet or exceed the client's expectations for quality, timeliness, and service.
  • Coordinate with team to ensure client's filings are executed timely and accurately.
  • Proactively reach out to requestors and effectively address any needs that arise.
  • Quickly identify Submission Types and/or necessary Submission Information changes.
  • Work closely with Manager/Team to determine priorities and workflow.
  • Prioritize work requests across team and coordinate/balance multiple projects based on experience and following established guidelines, especially when working with escalated deadlines or issues.
  • Ensure that job tickets are properly filled out before beginning work.
  • Follow procedures to run jobs in proper order.
  • Communicate with supervisor or client on job or deadline issues.
  • Meet contracted deadlines for accepting, completing, and delivering all work.
  • Troubleshoot basic equipment problems.
  • Intake work requests from the client; including clarification of job instructions and negotiation of deadlines with the requestor.
  • Perform Quality Assurance on own and work of others.
  • Load machines with various paper, toner, supplies.
  • Answer telephone, emails, and place service calls when needed.
  • Interact with clients in person, over the phone or electronically.
  • Adhere to Williams Lea policies in addition to client site policies.
  • Use equipment and supplies in a cost-efficient manner.

Requirements

  • Bachelor's degree preferred with concentration in Economics, Accounting or Computer Science, or commensurate experience in lieu of education.
  • Minimum 5 years of EDGAR experience required, including knowledge of GoFiler Pro Software, manually coding HTML, and knowledge of how to search SEC EDGAR system for filings.
  • Advanced software aptitude in programs used for EDGAR Operations, with speed and accuracy in a high-volume, high-pressure production environment.
  • Strong MS Word, MS Excel, MS PowerPoint, Adobe Acrobat, and HTML skills.
  • Proven customer service skills to create, maintain, and enhance customer relationships.
  • Good written and verbal communication skills, including professional telephone and email etiquette.
  • Attention to detail with good organizational skills.
  • Ability to meet deadlines and complete all projects in a timely manner.
  • Ability to handle sensitive and/or confidential documents and information.
  • Ability to make independent decisions that conform to business needs and policy.
  • Good problem-solving skills, with the ability to escalate issues to a supervisory level when necessary.
  • Ability to work well in a team environment and interact effectively with multi-functional and diverse backgrounds.
  • Self-motivated with a positive can-do attitude.
