About the position

The Sr. Event Planner at Interstate Batteries plays a crucial role in the success of the events and sponsorship team. This position is responsible for assisting in the planning and execution of various meetings, events, promotions, and sponsorships that align with the company's objectives. The Sr. Event Planner will manage large program logistics, oversee smaller programs, and support the sponsorship team with ticketing and hospitality logistics. This role requires a proactive approach to ensure that all events are executed flawlessly and meet the high standards of the company. In this position, the Sr. Event Planner will conduct research to select appropriate meeting and event venues, arrange catering services, order necessary supplies, secure equipment and signage, and ensure that the décor aligns with the brand's expectations. The planner will also propose innovative ideas to enhance the event planning and implementation process. Acting as a liaison with vendor partners, the Sr. Event Planner will coordinate with the communications team to ensure effective promotion of events. On-site management is a key component of this role, including overseeing production and decorators, coordinating catering, and managing registration processes. The planner will also be responsible for preparing nametags, creative materials, and coordinating the shipping of program supplies. Tracking event costs and assisting the sponsorship team with race ticketing and hospitality logistics are also essential duties. After each event, the planner will close out all activities, including conducting post-event surveys and analyzing data for distribution to stakeholders. Additionally, the Sr. Event Planner will prepare budgets and provide periodic progress reports to the Event Managers and Sponsorship Manager, assisting with monthly budget reporting and other special projects as needed. This role requires excellent organizational skills, the ability to manage multiple projects simultaneously, and a strong focus on customer service and quality.

Responsibilities

Requirements

  • 8 to 10 years of corporate event planning experience.
  • BA/BS degree required or equivalent experience in Hospitality Management or Event Planning.
  • Excellent organizational skills and experience with project management.
  • Ability to manage multiple simultaneous projects and work assignments from various staff.
  • Excellent interpersonal skills both in person and by phone, with high professionalism.
  • Ability to accomplish projects with little supervision.
  • Fantastic customer service and high expectations for quality.
  • Proficient in using the web for research, event administration, registration, and procurement.
  • Experience with Microsoft Outlook, Word, Excel, PowerPoint, and Teams.
  • Excellent communication skills, including writing, proofreading, and speaking.
  • Experience working with Cvent is a plus.
