About the position

The Sr Events and Catering Planning Manager at Bon Appetit Management Company plays a pivotal role in ensuring the successful execution of all events and catering functions. This position is not just about managing logistics; it involves a deep commitment to quality service and culinary excellence. The manager will work closely with the Sr. Events & Catering Manager/Director of Events & Catering to oversee sales and event order communications, scheduling, and training of service staff. The role requires a hands-on approach to planning, delivery, setup, cleanup, and proper invoicing for all daily events, ensuring that every detail aligns with Bon Appetit's high standards. In this dynamic environment, the Sr Events and Catering Planning Manager will be responsible for owning the end-to-end planning and project management for each event. This includes conducting post-event analyses to evaluate success, gather feedback, and identify areas for improvement. The manager must be a creative problem solver, capable of developing outstanding event concepts that resonate with the target audience. A positive, can-do attitude is essential, as the manager will need to swiftly overcome challenges and ambiguity while maintaining a professional demeanor. Daily operations will involve collaboration with all Events & Catering team members, ensuring that client requests are processed and fulfilled to expectations. The manager will assist in supervising hourly personnel, manage vendor relationships, and oversee the reconciliation of departmental purchases. Additionally, the role includes maintaining equipment and supplies, collaborating with chefs for catering events, and accommodating last-minute client orders efficiently. Supervision and staff development are key components of this position. The manager will assist in hiring, training, and providing feedback to hourly staff, ensuring adherence to appearance standards and fostering a culture of inclusion. The culinary program aspect of the role involves working with the culinary team to ensure that catering menu items meet sustainability commitments and that portion sizes are standardized. Customer service is paramount, and the manager will be expected to exceed client expectations, resolve complaints amicably, and maintain open communication with customers. Financial management responsibilities include supervising account procedures, maintaining accounts receivable, and generating financial reports. The manager will also assist in planning and executing special events, ensuring that all marketing collateral is maintained and that events are executed per client needs and budget. Food and safety responsibilities are critical, requiring adherence to HACCP standards and maintaining sanitation within the work area. Responsibilities

  • Own the end-to-end planning and project management for each event.
  • Conduct post-event analysis to evaluate the success of each event, gather feedback, and identify areas for improvement.
  • Work collaboratively with all Events & Catering team members across all neighborhoods.
  • Ensure that all daily client requests are processed and fulfilled to client and Bon Appétit expectations.
  • Assist the Events & Catering Sr. Manager / Director of Events & Catering in scheduling hourly personnel appropriately based upon business needs and events.
  • Manage vendor relationships by working with external vendors and processing vendor invoices promptly.
  • Manage daily reconciliation of company issued credit card for departmental purchases.
  • Collaborate with Chefs in planning and execution of assigned Catering events/requests.
  • Manage simultaneous event timelines at once with a strict adherence to agreed-upon deadlines.
  • Accommodate last minute client orders and add-ons efficiently and courteously.
  • Assist with management and maintenance of Events & Catering equipment, small wares, décor, supplies, storage spaces and vehicle inventory.
  • Supervise all hourly Events & Catering Set-Up Employees and Coordinators.
  • Maintain hourly staff payroll in unit timekeeping system.
  • Assist with interviews, hiring, and training staff for Events & Catering positions.
  • Monitor all events and ensure proper delivery and pickup times are met.
  • Provide feedback and support to employees to further their development.
  • Work with culinary team to ensure that all catering menu items meet Bon Appétit's Sustainability Commitments.
  • Represent the company in a courteous, efficient, and friendly manner in all customer and employee interactions.
  • Supervise all events and catering account procedures, maintains AR list and works to keep all invoices current, and none to exceed 30 days.

Requirements

  • General Hospitality knowledge and interest in sustainability and sustainable food practices.
  • At least two years similar work experience.
  • Excellent organizational and communication skills required.
  • Ability to read and comprehend elaborate instructions, event requests, correspondence, and memos written in English with attention to details and grammar.
  • Ability to write professional correspondence through email. Highly proficient in Microsoft Word/Excel/Gmail.
  • Ability to work at times with minimal supervision, and accomplish tasks without direct instruction, and problem solve for the best solutions.
  • Ability to work flexible work schedules/shifts based on business demands, including after Cafe hours and/or weekends if needed.
  • Guest focused, with a helpful, positive and 'can-do' attitude.
  • Be an excellent team player while also showing the drive and enthusiasm to work on their own initiative.
  • Self-motivated and work with a sense of urgency, whilst demonstrating excellent attention to detail.
  • General Hospitality knowledge with at least three years events and catering management experience.
  • Ability to see the big picture and help department scale and grow with integrity.
  • Ability to interact with diverse and high-volume customer base in a friendly and efficient manner.
