About the position

The Senior Executive Assistant plays a crucial role in providing comprehensive support to senior management within the organization. This position involves managing correspondence, organizing calendars and appointments, arranging conferences and conference calls, and making travel arrangements. The Senior Executive Assistant is expected to handle various administrative tasks that are essential for the smooth operation of the department and to ensure that the executive's time is managed effectively. In this role, the Senior Executive Assistant will directly support a C16 level manager and will generally provide support to the entire department. This includes managing the day-to-day calendar(s) of senior management, coordinating all aspects of executive-level appointments, meetings, receptions, and conference calls. The assistant may also be responsible for preparing and reviewing materials and correspondence for meetings, as well as assisting in the creation and modification of presentations, spreadsheets, and other documents. Travel coordination is another key responsibility, which involves preparing and distributing schedules and agendas for travel, as well as reconciling and tracking expense reports through the Travel and Entertainment Expense system. The Senior Executive Assistant will also order supplies, process invoices through the Procure to Pay system, and follow up on Virtual Requests. Additionally, the role may require assisting in ad-hoc reports and special projects as needed, and training or guiding other administrative staff when required. The position demands a high level of professionalism and the ability to assess risks when making business decisions, ensuring compliance with applicable laws, rules, and regulations. The Senior Executive Assistant must demonstrate sound ethical judgment regarding personal behavior and business practices, and be proactive in managing and reporting control issues with transparency.

Responsibilities

  • Directly supports a C16 level manager and generally supports an entire department

  • May prepare and review materials and correspondence for meetings
  • Assist with creation/modification of presentations, spreadsheets, and other various documents
  • Coordinates travel arrangements; prepare and distribute schedules/agendas for travel
  • Prepares, reconciles, and tracks expense reports through Travel and Entertainment Expense system
  • Orders supplies and process invoices through Procure to Pay system
  • Process and follow-up on Virtual Requests
  • Assists in ad-hoc reports special projects as needed
  • Trains, coaches or guides other administrative staff when required
  • Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations.

Requirements

  • Previous office administration experience preferably within a large and complex financial services or similar organization
  • Highly proficient in Microsoft Office
  • Consistently demonstrates clear and concise written and verbal communication skills
  • Demonstrated ability to quickly gain command of new systems
  • Self-motivated and detail oriented
  • Bachelor's/University degree or equivalent experience
